Description

We are in search of a Sr. Executive Assistant to join our team in the Government sector. This role will provide crucial administrative support to top-level executives and the Human Resources Department. You will coordinate reports, projects, and special work assignments, ensuring the smooth operation of the company.

Responsibilities:

• Undertake all secretarial functions for executives, including general correspondence, company and government required reports, and legal documents.

• Screen e-mail, telephone calls and other correspondence of top executives; resolve issues as they arise.

• Maintain and manage the calendar of top executives for scheduling and confirming appointments. Monitor and reserve meeting rooms, when requested.

• Compose correspondence for executives' signatures.

• Review, prioritize and organize incoming mail. Maintain files.

• Assist in updating and maintaining Human Resources Oracle system.

• Coordinate with all departments for training requests and registration for all companies. Ensure adherence to policy. Coordinate on site HR sponsored training.

• Maintain annual attendance and service award programs for all companies.

• Track and maintain tuition reimbursement program for all companies.

• Arrange for Company sponsored travel (air and ground transportation, lodging, etc.).

• Prepare monthly expense reports for Chairman, President & CEO, and Vice President-Human Resources.

Requirements • Proficient in Calendar Management and Scheduling management

• Demonstrated ability in Scheduling Appointments and Calendar Management

• Experience in handling Invoice processing and tracking

• Competency in Coordinating Meetings and managing logistics

• Skilled in drafting and maintaining Meeting Minutes

• Familiarity with government protocols and procedures

• Strong organizational skills and attention to detail

• Excellent written and verbal communication skills

• Ability to prioritize tasks and meet deadlines

• Proficiency in using Microsoft Office Suite and other relevant software

• Ability to maintain confidentiality and handle sensitive information with discretion

• Bachelor's degree or equivalent experience in related field preferred

• Prior experience in a similar role in a government setting is an advantage.
