The Administrative Assistant – Executive Assistant, Journeyman (Level III) shall perform a wide variety of administrative support duties to facilitate and support the NGCV CFT Headquarters Staff.

Responsibilities

  • Manage scheduling, coordinate and deconflict scheduling, and extensive calendar management in support of the Director.

  • Management of content and flow of information to recipients.

  • Manage, coordinate, and arrange travel and travel-related activities, including hotel booking, transportation, and other miscellaneous travel requirements for the Headquarters Staff.

  • Perform administrative and office support to the headquarters as required.

  • Manage SIPR VTC.

  • Maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with the business

  • Maintain the NGCV CFT Director's calendar to include business-related social obligations reminding the NGCV CFT Director of appointments.

  • Set up, reschedule, or refuse appointments and accept or decline invitations to meetings/social functions.

  • Synch weekly with the appropriate directorate on the Director’s travel arrangements and attendance at events.

  • Take notes at meetings deemed necessary and publish a summary of discussions and actions.

  • Make all necessary travel arrangements via DTS for the Director, and Deputy Director, including country clearances, passport and Visa application when required, and agenda times.

  • Submit travel vouchers via DTS for the Director and Deputy Director.

  • Assemble trip books, consisting of agenda items, itineraries, and information papers dealing with personnel, logistics, and mission accomplishment prepared by staff.

  • Work in alignment with the Executive Officer to ensure the Director’s requirements are met.

  • Set up VTCs, including audio/visual, hardware, and software troubleshooting in support of the Director and Deputy Director.

  • Draft letters of acknowledgment, recommendation, notification, One Notes, etc., based on a knowledge of NGCV CFT Directors views and wishes.

  • Performs a variety of secretarial/clerical/administrative duties to support the work of the office.

  • Complete annual company and customer-required training, as required.

  • Complete timesheets daily in an online system according to company policies and procedures.

  • Other duties as assigned.

Qualifications

  • High school diploma or GED equivalent

  • 6+ years of administrative support experience.

  • Proficient in Microsoft Suite Systems, particularly Outlook, Teams, and Word.

  • Experience in VTCs, including Crestron and CISCO products.

  • 6+ months experience working for the Department of Defense.

  • Must be a U.S. citizen.

  • Interim Secret clearance is required to start with the ability to obtain a Secret clearance.

Knowledge, Skills, and Abilities:

  • Ability to rely on professional experience and judgment to plan and accomplish goals.

  • Working knowledge of a variety of computer software applications in word processing, spreadsheets, databases, and presentation software (Microsoft Office suite and Outlook).

  • Ability to multi-task in a high-stress, performance-based environment.

  • Ability to establish priorities and meet established deadlines.

  • Ability to set up and troubleshoot VTCs (Crestron, CISCO).

  • Ability to coordinate and integrate the work activities of several different projects at any one time.

  • Must have a solid working knowledge of the Defense Travel System.

  • Must possess strong clerical/secretarial skills, including the ability to communicate with others effectively both orally and in writing.

  • Travel up to 10% as required.
