Black & McDonald's Southern Ontario Electrical team is growing! The Administrator - Documents Control is located in Vaughan, ON and typically reports directly to the Department Manager.
The Administrator - Documents Control will be responsible for the following duties and responsibilities:
Documentation control—photocopy and collate documents for distribution, mailing, and filing
Coding and reconciling payments to JD Edwards
Accurate invoicing of customers, therefore reducing the number of complaints from customers regarding billing errors
Preparing of documentation to assist Accounts Receivable/Payable (e.g., Invoices, Purchase Orders, etc.)
Timely review, printing, and delivery of invoices
Assist with system inventory management
Coordinate other team members (e.g. other billing people's tasks)
Monthly job forecast updates
Engage partners in billing, A/R management, and collections activities
Assist the manager in planning and scheduling
Assist with material/equipment procurement
Productivity reports
Ability to analyze financial data
Handle customer calls in a polite and efficient manner
Completing time and attendance for hourly site employees
Ability to work in a multi-tasked, fast-paced, and changing environment
Other duties as assigned

EDUCATION REQUIREMENTS
- Post-secondary education in a related field
WORK EXPERIENCE REQUIREMENTS
- 3–5 years' experience in administrative accounting and/or relevant financial management experience is an asset
SKILLS, ABILITIES, AND OTHER REQUIREMENTS
Strong understanding of end-to-end financial processes including a numerical aptitude
Self-starter with the ability to manage multiple projects and meet deadlines
Effective written and verbal communication skills
Excellent interpersonal skills
Strong written and oral communication skills
Proven interpersonal, organizational, analytical, and problem solving skills
JD Edwards experience an asset
Intermediate to advanced Excel an asset
Strong technical skills in Microsoft Excel and Word
Demonstrates a commitment to providing excellent client service by building and maintaining productive relationships with both internal and external clients
Demonstrates ability to manage relationships and communicate effectively at all levels
Confidence in ability to work in a highly technical and changing work environment
Ability to work well under pressure
