Job Responsibilities:

• Light Cleaning (Wipe Table or Desk)

• Space Re-setting

• Connect People to Amenities and Services

• Maintain Nurture and Wellness Rooms

• Locker Management

• Support Employee Onboarding

• Meeting & Event Prep and Support

• AV Triage and Light Cord/Cable Management

• Manage Rogue or Outdated Signage

• Move/Settling in Support

• Affinity/Community Group Support

• Admin Support

• Centralized Office Supplies

• Heed Cultural Sensitivities

• Maintain preferred vendor lists for catering, décor, entertainment, and office supplies ensure proper COI documentation as required by Client and facility.

• Business travel arrangements when necessary

• Visitors’ management, hotel reservations, car transfers, etc.

• Answering Main switchboard

• Picking up incoming mail from Building Management Office Mailroom

• Offsite storage management

• Manage business card printing.

• Main contact with Building Management office

• To process Department’s invoices and submit to Finance for payment

• Staff on/off boarding

• Parking Management

• Copying documents

• Converting documents to PDF

• Creating and shipping greeting cards

• Mail management and shipping

• Management of magazines and newspapers

• Mail services for HR-related documents for local employees and offshore HR

• Filling and recording receipts for monthly medical expenses and delivering it to HR

• Filling and recording the invoice of medical check-up expense and delivering it to HR

• Assistance with filing

Other skills and/or Abilities:

Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Visio, SharePoint, OneNote, Outlook, etc. Comfortable with and embracing of new technologies and digital tools; such as Apps, databases, cloud technologies, handheld mobile technologies and applications, and communications.

Best candidates will have a genuine interest in in anticipating and serving the needs of others. A warm demeanour and desire to collaborate with others is key.

Physical ability to assist with operations and move heavy boxes.

Safety:

· Complete at a satisfactory level all required and assigned HSE training

· Follow all activity policies and procedures, including all HSE related requirements at all times 3. Participate in all HSE related programs & activities as required, including incident investigations, interviews, auditing and assessment, etc.

· Report any condition which you feel could result in an accident or injury and / or stop work if required

In addition:

· Be aware of and understand all safe work practices and procedures and potential hazards associated with the work environment

· Maintain and wear at all times required appropriate personal protective equipment (PPE)

· Always apply appropriate material handling techniques,

· Only operate warehouse equipment and machinery (e.g. pallet jacks, manlifts, etc.) if properly trained, qualified and authorized to do so
