Your Specific Responsibilities:

The incumbent in this position must possess a broad range of skills and exercises considerable judgement and initiative. This position performs highly confidential; complex administrative and consultative functions for the Secretary and Chief of Staff (COS) of the Department, and needs executive-level knowledge of priorities, policies and practices. The duties are as follows, but are not limited to:

  • Serves as main administrative contact and liaison for the Secretary, COS between leadership Departmental employees and constituents and advises the Secretary and COS on internal and external matters to maintain the mission of the Department.

  • Arranges travel, hotel accommodations, and event or meeting planning for the Secretary and COS as well as other members of leadership.

  • Interfacing professionally via written and verbal responses to citizens, environmental groups, legislators, and employee complaints for the Secretary and the COS.

  • Coordinate and schedules departmental and external client meetings and events for the Secretary and COS both on and off site.

  • Participates in development and execution of short-and-long-term goals, and processes for the Department in coordination with the Secretary and COS. Compiles all weekly reports for the Secretary and Chief of Staff through other executive staff, weekly.

  • Assists both the Chief of Staff and Secretary in meeting all internal/external deadlines, as necessary.

  • Answers public phones lines for the Secretary’s office.

  • Tracks and manages assignments that come into the Secretary’s Office.

  • Provides wide ranges of support including composing/drafting correspondence and editing letters, memoranda, reports, lecture/course materials, presentations, cases on the Secretary’s or COS behalf.

  • Plans, coordinates and ensures the executive leadership’s schedule is followed and respected.

  • Attends meeting with the Secretary and COS to handle notes and action items, as needed.

  • Performs other duties and special assignments as requested.

    This position reports to the Douglas Building, 3900 Commonwealth Blvd, Tallahassee, FL 32399.

    P ay:

    $55,000 - $60,000

    Required Knowledge, Skills, and Abilities:

  • Knowledge of Microsoft Suite Products;

  • Knowledge of planning, coordinating and implementing meetings;

  • Knowledge of the principles and practices of State purchasing and travel;

  • Ability to manage time well and handle multiple priorities to meet critical deadlines.

    Minimum Qualifications:

    POSITION OF SPECIAL TRUST REQUIREMENT:

    This position is designated as a Position of Special Trust in accordance with DEP-422 (Positions of Special Trust or Responsibility). Any applicant being considered for employment must successfully complete a Level 2 State and National criminal history check as a condition of employment before beginning employment, and also be screened in accordance with the requirements of Chapter 435, F.S. No applicant may begin employment until the background screening results are received, reviewed for any disqualifying offenses, and approved by the Agency.

    Preferred Qualifications:

  • 5 years of experience in an executive support role;

  • High proficiency in organization and time management; and

  • Experience working with State of Florida travel and purchasing procedures.
