JOB SPECIFICS
Reporting to the Administrative Services Manager, this Office Supervisor position serves as the direct report for the support staff assigned to the Civil and Juvenile Divisions of the County Attorney’s Office. In addition to the supervisory duties, such as staff training, performance reviews and conflict resolution, this position is responsible with the coordination of division operations and processes as it relates to changes made by the State, Law Enforcement agencies and other partners as well as the ever-changing needs regarding digital technology and evidence. The Office Supervisor will also carry an individually assigned caseload.
DESIRABLE EXPERIENCE:
Previous supervisory experience
Experience working in a public sector law office
Experience working in Civil, Family or Juvenile Law
Experience with the dissemination and storage of digital evidence
Experience with digital technology programs such as Axon/Evidence.com
Experience with preparation of case filings for appellate matters
Experience with State systems including MNDES, MGA, eFile/eServe, and eCharging
SELECTION TECHNIQUE: Your training and experience will be rated based on the required application material submitted and the top-scoring candidates will be forwarded to the hiring department for further consideration.
HOURS / DAYS: Mondays through Fridays; 8:00 a.m. to 4:30 p.m. Work schedules (hours and days) and location are subject to change based on department needs.
ANTICIPATED HIRING RATE: $31.74 - $43.30 hourly

JOB SUMMARY
Reporting to the Administrative Services Manager, the Office Supervisor is responsible for the work flow in the office and supervises legal assistants, senior legal assistants, paralegals, and front desk staff. The Office Supervisor also works with attorneys as a legal assistant. This is an entry level supervisory position responsible for staff involved in office and technical support work.
EMPLOYMENT CRITERIA
MINIMUM QUALIFICATIONS: The Office Supervisor – County Attorney's Office requires completion of an Associate's Degree in paralegal, business administration, criminal justice or a related field and three years of experience as a legal assistant or paralegal, or equivalent. A notary public licensure is required. Testing every two years to use the Bureau of Criminal Apprehension database is required. A background check is required.

DUTIES & RESPONSIBILITIES
Coordinates office operations and processes:
• Develops, modifies, recommends, and adheres to policies and procedures;
• Monitors changes to state and federal laws that require changes to existing policies and procedures;
• Makes changes to processes in response to changes made by Court Administration or other departments;
• Discusses continuous improvement of work flow and procedures at monthly meetings;
• Troubleshoots how to get systems and processes to work together to produce desired results.
Supervise office support staff members:
• Serves as the primary contact for legal support services and the front desk staff and responds to concerns; responds to technical questions from legal assistants, paralegals and front desk staff;
• Recommends individuals to hire to fill office support positions;
• Orients new office support staff; coordinates training programs for office support staff;
• Assigns work to staff;
• Conducts performance reviews; motivates staff to perform well; investigates allegations or suspicion of employee misconduct, makes disciplinary recommendations;
• Responds to staff's personnel issues.
Completes legal assistant duties for County Attorneys:
• Prepares legal documents; notarizes various documents for court filings;
• Utilize, update and maintain databases and calendars such as the Bureau of Criminal Apprehension, MP5, e-charging, PRISM, and the Minnesota Court Information System (MNCIS);
• Assist the public, law enforcement, attorneys, agencies or other county employees by responding to questions;
• Processes documents for people in custody quickly.
Serve on a number of committees including the safety committee.
Perform other duties as assigned.
WORK ENVIRONMENT
Work is sedentary in nature and involves sitting most of the time though about 30% of the time is spent doing tasks that require standing such as filing, scanning, faxing, and copying. Physical effort is light for the majority of work with lifting or carrying limited to 25 pounds intermittently. The job requires wrist and finger manipulation to file documents, compile documents, use a calculator, and use a computer to type documents or enter data. Work requires the ability to receive detailed information through oral communication and to convey detailed or important spoken instructions to individuals. There is some pressure associated with dealing with individuals who are disgruntled or whose behavior is not predictable, with meeting deadlines for cases, and with getting systems and processes to flow smoothly.
Most work is performed in a normal climate controlled office environment. The noise level is moderate and lighting is adequate. About three times per year, nonprofessional attire is required to review, move or store documents in a dusty storage area.
