Job Summary

The Project Coordinator will support the Customer Marketing team and help ensure delivery of high-quality creative projects. This role will focus on customer facing marketing work that supports the customer buying journey starting from initial awareness of the Patterson Dental brand, to the evaluation of our products and services and finally taking action to make a purchase.

The ideal candidate will have project management experience, experience working with a project management/workflow tool and have a strong ability to leverage information and reports to assist in planning resources and timelines. The candidate ­­should have a high attention to detail and strong people skills with an ability to coordinate multiple projects.

This role works closely with the marketing and in-house creative team along with key channel partners and third-party agencies. This role will oversee the workflow of customer facing marketing work such as campaigns that leverage multiple tactics/channels to sell sheet creation, video development and website projects. The work will start with a marketing brief to understand scope of work, key dates and channels through creative development, approvals and execution.

Essential Functions

  • Oversee the coordination and flow of creative projects between departments – marketing, creative and channel partners

  • Leverage pre-built workflows to set up the work schedule by deliverable, channel and due date

  • Ensure the project has the necessary resources to complete the work

  • Attend marketing kick off meetings aligning plans and timelines to the creative brief goals as presented by the marketing team member

  • Maintain task lists, due dates and project statuses within the project management/workflow tool

  • Monitor projects and workloads, adjusting assignments and deadlines accordingly, in alignment with the Creative Services Manager and marketing team members

  • Ensure the creative team and channel partners have needed information/assets to complete their work

  • Communicate status updates highlighting potential issues including at-risk deadlines, scheduling, resource constraints

  • Lead the weekly creative project pipeline meeting using project management reports

  • Proactively communicate upcoming work to channel partners and third-party agencies, when available

  • Coordinate with designers or channel partners to ensure that projects meet their requirements

  • Build strong relationships across customer marketing and channel partners to ensure successful alignment of roadmaps and collaboration on deliverables and timelines

  • Navigate issues with a solutions-oriented mindset, escalating concerns and making informed recommendations to stakeholders and leadership as needed  

  • Foster efficiencies and speed while honoring the creative process

  • Act as one of the primary administrators of the project management/workflow tool

In addition to the essential functions listed above, the incumbent may perform the following additional functions.

  • Collecting assets from key manufacturers to use in marketing efforts

  • Coordinate key manufacturers marketing calendars

  • Intake field marketing requests and route through creative

  • Coordinate year end savings guide

  • Manage other duties as assigned

Job Qualifications

Required Qualifications

  • 2-5 years of project management experience

  • Bachelor’s degree in marketing, advertising, management, or related field

  • Experience using a modern software tool to assist in tactic planning and resource scheduling

  • Working knowledge of MS Office (Word, Excel and PowerPoint)

  • Experience building, executing, and scaling cross-functional creative projects

  • Ability to set up multiple projects at a time in a fast-paced environment

  • Organized, reliable and highly detail-oriented with a quality and results-oriented approach

  • Effective communicator and collaborative team player who excels at building relationships

  • Strong problem-solver

Preferred Qualifications

  • PMP or CAPM Certification

  • Experience using a project management workflow software such as Adobe Workfront and/or Wrike

  • Previous experience working with a marketing and/or creative team
