Intermountain Health Clinical Procedure Card Analyst in Spanish Fork, Utah

This role requires clinical experience as an Operating Room registered nurse or as a surgical technician .

Procedure card Analyst is responsible for the maintenance, standardization, and analysis of effective operating room procedure card processes for their care site(s). The focus of this role includes daily optimization of procedure card content related to operating room equipment, instruments, medications, supplies, procedure standardization, card content updates and/or revisions. Collaborates with physicians and Perioperative Services leadership to review procedure card content needs considering patient safety, clinical standardization, and cost savings. This position will also work directly with Perioperative Supply Chain to ensure supply accuracy on all procedure cards. This role drives process improvement through qualitative and quantitative measures. Effectively communicates and demonstrates a clear understanding of the IH standards, vision, and guiding principles. Further, the Analyst will direct standardization and centralization of key functions to eliminate compliance issues and support stewardship, while leading implementation of business platforms. Clean procedure card data results in improved caregiver and physician satisfaction, patient safety, working capital costs, and labor efficiencies.

ESSENTIAL DUTIES AND

RESPONSIBILITIES

Drives the AORN “7-step procedure card management process” that improves patient safety, clinician/physician satisfaction, perioperative efficiency, and labor savings, decreasing waste and returns. Acts as the gatekeeper to ensure procedure card standardization/maintenance best practices are followed. Reduces the number of cards, un-credentialed physicians, and/or errors related to equipment, instruments, positioning devices, and supplies, so the card content is held within the system Procedure Card Services standards.

· Encourages and uses positive human resource practices throughout the department, including mentoring, using performance management techniques - setting objectives, providing feedback, evaluating results, defining roles and, training and developing staff, using coaching/counseling to improve or sustain performance.

Maintenance and Sustainment

· Analyst maintains, standardizes, and analyzes effective operating room procedure card business processes. Focuses on daily optimization of accurate procedure card content related to equipment, positioning devices, instruments, supplies, physician accreditation, procedure standardization, card content updates and/or revisions

· Supports the timely coordination of card updates as approved by service line leadership. Utilizes real-time quality assurance tool for easy revision/tracking of cards, providing high transparency and responsiveness to physicians and caregivers.

· Develops and tracks open procedure card related Hub Tickets through completion. Garners Procedure Card Services support for Hub Tickets to achieve timely completion. Serves as a liaison for procedure card process and maintenance requiring IT OpTime support.

· Leads site training for procedure card business processes. Monitors annual Health Stream learning modules for site caregivers performing procedure card maintenance work.

· Participate in the annual review of the EL&PD’s Procedure card Maintenance and Standardization development for Health Stream.

Procedure card Analysis

· Frequently monitors and analyzes data utilizing IH’s Procedure card Services Content Universe (via Tableau, Epic OpTime Workbench, reports from Cerner or the DPC tool ) to measure procedure card clinical data integrity, standardization opportunities, labor productivity, and working capital impacts.

· Follows the standard for periodic reviews of cards by service line and their content. Participates in annual physician examination of top cards comparing peer standardization opportunities. Ensuring patient safety is a priority. · Participates in annual custom pack standardization/opportunities reviews for best expense/labor efficiencies with site/system surgical teams.

Process Improvement

· Utilizing lean methodologies identifies inefficient procedure card management processes to improve perioperative efficiency; decreasing waste and returns, enhancing identification of cost per procedure, improve charge capture and free up caregiver time spent on patient care.

· Facilitates quarterly reviews with service line leadership and Procedure Card Services management to track progress and provide updates on internal processes.

· Drives procedure card improvement by utilizing annual customer satisfaction surveys, Gembas, and other voice of the customer methods; driving improved flow and efficiency.

· Works to standardize Free Text associated with items that should be part of the Epic OpTime pick lists to maximize efficiency for global substitutions during conversions impacting hundreds of cards across thousands of lines.

Physician Onboarding and Collaboration

· The Analyst coordinates procedure card build/revision data with service line leadership, supply chain, and new physicians during their onboarding process.

· Builds and revises cards in Epic OpTime or Cerner with the input from service line leadership and physicians.

· Engages physicians in content improvement activities. Reduce procedure card volume by streamlining case categories/variations where possible.

·Periodically scrubs into operating room to observe how card is impacting flow of procedures and working with caregivers to identify where opportunities for improvement are possible.

Surgical Value Analysis – Site and System

· Member of the site/system value analysis team and is responsible for attending SVAT and SPCS meetings monthly. · Uses clinical knowledge for supply evaluation

· Collects performance improvement data, analyzes the data, and reports opportunities to site SVAT monthly. Communicates anomalies to site supply chain.

OR Supply Chain Support

· Meet weekly with OR Supply Chain regarding product conversions and product usage reports

· Ensures Epic or Cerner database cleanliness. Validating inactive products are removed and new products are active within Epic OpTime or Cerner.

· When new products are introduced to the OR the Analyst will work with service line leadership regarding which cards need new products added. The Analyst will then make need procedure card edits

· When new equipment is purchased the Analyst will work with OR Supply Chain to ensure all needed supplies are matched on cards with the equipment.

Scheduling Support

· Review scheduling report weekly. The purpose of this review is to catch scheduling errors and cases scheduled without procedure cards attached. The Analyst will triage scheduling errors to either the OR schedulers, service line leadership or both for needed edits. Cases scheduled without procedure cards will be managed by the Analyst who will build or attach the appropriate card.

OR Leadership Support

· Analyst will attend weekly huddles with the OR Director, OR Manager and Service Line Leadership. During these huddles there will be discussion on current projects, topics from SVAT and SPCS, physician on-boarding, staff education, celebrations, and concerns.

OR Staff Support

· Analyst will provide education to all new on-boarding staff. Education will cover the role of the Procedure Card Analyst, how to read a procedure card and how to place a change request

· Promotes mission, vision, and values of IH, and abides by service behavior standards

· Performs other duties as assigned

Minimum Qualifications

RN Licensure or CST Certification

  • Associate's degree in nursing, science fields, or other related field, required

  • 3 - 5 years of acute operating room experience as a certified surgical technician or registered nurse across multiple service lines, required

  • 3 -5 years experience with physician procedure cards; operating room related billing, card maintenance, scheduling, and/or auditing, required

  • Graduate of a surgical technology program or equivalent experience/training, required

Preferred Qualifications

  • Bachelor's degree in Nursing or related field, preferred

The hourly range for this position is listed below. Actual hourly rate dependent upon experience.

$31.02 - $47.24
