DESCRIPTION

Salary range - Up to $60,500 per year

POSITION SUMMARY: Responsible for the oversight, coordination, and administration of a range of athletic and sports-related Venues Parks and Arts programming including competitive, instructive, and recreational activities for both adults and youth.

SCHEDULE:Monday - Friday 8am-5pm Schedule may vary, including nights and weekends based on department needs.

SUPERVISION EXERCISED: Responsible for overseeing supervision of staff. Ex: Athletic Field Maintenance/Zamboni, Softball Commissioner, Leeper Tennis Center Supervisor, Tennis Employees, Officials/Umpires, Volleyball Employees, Instructors, Etc.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as a representative of the City of South Bend, demonstrating positive attitude and progressive actions through the display of professionalism, courtesy, and appropriate tact and discretion in all interactions
  • Participates in the development, construction, maintenance and up-keep of VPA athletic facilities, ice rink, and fields.
  • Cultivates athletic and sports-related programs, activities, and events offered across all VPA facilities and fields.
  • Cultivates and manages partnership relationships with external/community stakeholders and other VPA divisions in the development, coordination, and implementation of athletic and sports-related programs, activities, and events.
  • Coordinates the scheduling and rental of VPA athletic fields, including softball, baseball, football, soccer, basketball, tennis, volleyball, pickleball and others as requested.
  • Knowledge of rules and regulations regarding various youth and adult athletic recreation activities, leagues, and tournaments.
  • Analyzes trends and community needs in relation to athletic and sports-related programming and prepares long range plans to meet those needs.
  • Develops athletic facilities, grounds maintenance and custodial standards; determines special user requirements; works with division staff to develop maintenance schedules based on user needs.
  • Effectively recommends hire, trains, supervises and evaluates performance of athletic facilities staff.
  • Reviews and approves employee timesheets and oversees scheduling.
  • Establishes systems and methods for training, motivating, and supervising the work team and a system of communication and cooperation among staff.
  • Oversees, supervises, and evaluates the Softball Commissioner and the entire softball program.
  • Oversees, supervises, and evaluates the Leeper Tennis Center, facility, and programs.
  • Oversees, supervises, and evaluates the Athletic Field Maintenance/Zamboni Staff and field/court rentals and schedules.
  • Recruits and coordinates volunteer coaches.
  • Responsible for completing/reviewing credit card transactions.
  • Researches, prepares, and submits administrative reports as requested.
  • Represents the department to outside stakehold rs, community groups, and organizations.
  • Maintains equipment inventory. Purchases necessary equipment as needed for programs.
  • Helps department maintain national accreditation.
  • Oversees setup and utilization of specialized software for online program/event/league registration, customer relationship management, and data tracking/reporting.
  • Responsible for updating and maintaining webpages on the departments website.
  • Oversees marketing for athletic and sports-related programs, activities, and events.
  • Handles the fiscal management of athletic programming, which includes preparation of an annual budget, maintaining account projects, submitting purchase orders, and direct pay.
