Presbyterian Homes Project Assistant / Project Coordinator in SKOKIE, Illinois

Essential Functions

  • Maintains established procedures for the Department’s invoicing, pay applications, contracts, change orders, waivers, project set-up, etc.

  • Coordinates complete payment process between Department Staff, Accounting and Vendors.

  • Prepares project contracts and invoicing for approval and payment.

  • Liaison between contractors and the Facilities Management Department for payment processing.

  • Maintains files and systems for Facilities Management Department. Includes paper and electronic processing.

  • Establishes and maintains confidential files and other necessary data.

  • Prepares departmental correspondence as requested.

  • Processes incoming and outgoing mail.

  • Orders and maintains inventory of office supplies and equipment.

  • Assists in the organization of existing project files, drawings, records, contracts, and material samples within the department both physical and electronic.

  • Assist in developing and maintaining standard procedural documents, project reporting, and financial reporting.

    Skills/Qualifications

  • High School Diploma or equivalent.

  • Bachelor’s Degree a plus.

  • 3-5 years’ experience in project coordination and office management.

  • Ability to read, write and speak English proficiently

  • Working knowledge of small project scheduling, budget, and payment processing.

  • Good communication skills, detail orientated, able to coordinate multiple tasks with multiple team members.

  • Responsiveness to emails, phone calls, and requests by the department team, communities, and vendors.
