We are looking for an Operations and Office Administration Manager to manage and support all aspects of Administration, Facility, Compliance, Financial and Quality, among others.
What your responsibilities will be
You will have the opportunity to:
Logistics Coordination
Oversee all shipments with shippers, regulatory bodies, 3PL warehouses, and local freight forwarders, ensuring accuracy and compliance.
Schedule and coordinate incoming shipments to maintain stock availability.
Collaborate with Grifols entities' supply chain, quality, regulatory, and logistics teams.
Serve as the main liaison with 3PL providers, clearance agents, and transporters.
Sales and Inventory Management
Support commercial sales efforts, including tender submissions, sales quotations, and customer delivery schedules.
Monitor sales forecasts and inventory levels, ensuring timely deliveries and stock movement.
Manage inventory at third-party warehouses and address issues with lost or damaged stocks.
Participate in demand-supply meetings.
Office and Administrative Management
Manage daily office operations, including cleanliness, filing, insurance, staff records, and premises monitoring.
Ensure functionality of office lines, Wi-Fi, and networking.
Liaise with the company secretary and handle procurement of office supplies.
Quality and Regulatory Support
- Address product and customer complaints, assist with recalls, and support internal quality audits.
Finance and Accounting
Review financial statements, ensure bank reconciliation, and balance inter-company accounts.
Process sales invoices and collaborate with Finance Shared Services.
Provide data for budgeting, manage external audits, prepare tax computations, and manage credit.
Liaise with the company’s banker.
General Duties
Ensure compliance with SOPs, provide reports, maintain records, and ensure SAP data integrity.
Assist with other duties as needed within Corporate Affairs scope as needed

You have a University Degree in Business Administration, Accounting or similar. It will be an added value if you have professional or business qualifications (MBA, business, etc.).
You have at least 5 years of relevant experience in a similar position in a pharmaceutical company.
You have knowledge of Logistics, Commercial and Finance.
You have experience working with SAP and MS Office.
You possess excellent communication and organization skills, and you are a detail-oriented person.
You are a result driven person and team player, able to collaborate with cross functional teams to achieve the objectives.
You speak fluent level of English and Malay.
