Job Title: Billing & Project Accounting SpecialistJob Description

The Billing & Project Accounting Specialist is responsible for reviewing project contract documentation to ensure accuracy of project setup while following client requirements, the Project Management & Quality Guidelines, and the Revenue Decision Making Matrix. This role involves accurate input of new and existing project information into the BST Project Accounting Software, preparing invoices using various software packages, interfacing with technical, administrative, and professional personnel, and analyzing information pertinent to client invoicing. Additionally, the specialist will compile invoice packets to meet client requirements, including timesheet and expense documentation, DBE reporting, client-required forms, and Project Manager progress reports.

Responsibilities

  • Read, comprehend, and understand client contracts for compliance with corporate requirements and accurate project setup.

  • Review project setup documents for accuracy, ensuring data reflects contract terms and authorizations.

  • Input new and revised project data such as budgets, phase/task/org authorizations, client updates, and billing particulars into the BST Accounting System.

  • Process subconsultant invoices through BST Accounting System and release payments.

  • Produce monthly Pre-bills & Final invoice packets for clients at an intermediate level.

  • Post Final Invoices to Accounts Receivable and adjust Accounts Receivable or reinstate invoices as needed.

  • Archive invoices and client contract documentation.

  • Analyze and research Work-in-Process and Project Analysis at an intermediate level.

  • Perform Project Closeout Analysis at an intermediate level.

  • Provide internal and external audit liaison assistance at an intermediate level.

Essential Skills

  • Billing experience within an engineering or architectural firm.

  • Experience working with project managers to track deadlines and milestones.

  • Proficiency in managing change orders.

  • Advanced Excel skills including Pivot tables, Vlookups, Sumif's, and Index Match.

  • Experience with BST, VantagePoint, or Deltek systems.

Additional Skills & Qualifications

  • Associate or Bachelor's Degree in accounting, finance, or business-related field.

  • 3+ years of project billing experience.

  • 3+ years of experience creating invoices and understanding the process from both A/P and A/R perspectives.

  • 3+ years of change orders experience.

  • 3+ years of experience working with project managers to track deadlines and milestones.

  • Experience in an engineering or architectural company with revenue over $300 million.

Work Environment

The role is fully remote, within the construction, architectural, and engineering industry. The company has revenue of $375.1 million and utilizes BST and Deltek software. The work environment includes a corporate campus with a centralized billing department located in the back of the parking lot, comprising about 44 employees. The schedule is flexible, allowing employees to start between 7am and 8:30am after the training period, provided the required hours are completed.

Pay and Benefits

The pay range for this position is $27.00 - $33.00/hr.
