About the Position

In this role you will be responsible for invoice approval, purchase orders, fund accounting and the administration of standing orders and subscriptions for library materials. Examples of job assignments can be found below.

Collection Development/Maintenance

  • Place subscription and standing orders, monitor status, request quotes and generate reports as needed.

  • Research, analyze and provide status updates on subscriptions and standing orders.

  • Research alternative vendors to ensure fiscal responsibility.

  • Monitor and report expenditures for standing orders and serials accounts, creating database order records for standing orders.

Finance

  • Monitor and maintain fund account records in County financial database.

  • Verify and approve invoices for assigned Purchase Order areas.

  • Act as Purchase Card Administrator for selected areas.

  • Prepare Purchase orders, waivers, verify and upload Certificate of Insurance.

  • Participate in materials receipt invoice posting.

  • Attend annual cash management training and assist in all areas of business unit cash management as required.

Administration

  • Participate in or manage special non-routine projects, resolve problems and situations.

  • Manage and update Libraries and Historical Resources personnel emergency contact information.

  • Prepare monthly, quarterly, and annual statistical reporting.

Customer Service

  • Develop and implement standards of service that ensure the prompt and efficient resolution of each inquiry by internal and external customers, delivered with the utmost respect and courtesy.

  • Represent Sarasota County to library users.

  • Monitor customer service requests to ensure standards of excellence.

  • Identify and solve administrative and management issues which hinder effective operations.

  • Meet with vendors and customers.

Staff Development

  • Serve as a member or Team Leader in assigned specials projects.

  • Participate in cross training in other sections and aids in cross training in his/her section.

  • Provide opportunities for continuing professional development of self and others, especially in acquiring relevant understanding and skills.

About the Schedule

Work Hours:

  • Full-Time, 40 hours per week.

  • Monday - Friday, 8:00 a.m. to 5:00 p.m.

About You

Minimum Qualifications:

  • High School diploma or equivalent education.

  • 2 - 5 years of clerical, secretarial, and computer experience.

  • Relevant college credit may substitute on a year-per-year basis for required work experience.

Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment in any class for a period of five (5) years.

Starting Pay Range: $21.63 - $22.50, based upon experience.
