  • Ability to prioritize, multitask, and maintain focus while dealing with frequent interruptions.

  • At least 2 years of experience in an administrative office setting.

  • High school diploma or GED .

Preferred Qualifications

  • Bachelor’s degree.

  • Experience in a higher education environment.

  • Knowledge of Texas State University policies and procedures.

  • Experience in an executive level office.

Job Description

Our office seeks a creative, organized, and dependable administrative professional with excellent interpersonal and technological skills to provide timely administrative support. The Administrative Assistant III provides daily administrative and operational support for the Office of the Vice President for Information Technology and its organizational units. This position maintains efficient and organized operations of the VPIT front office and provides excellent customer service and reliable support. Additionally, this position monitors, tracks, and communicates deadlines and other information; maintains logs and coordinates equipment inventory; collaborates and communicates with other offices/constituents on a variety of matters; prepares correspondence, documents, forms, travel and purchase requisitions; coordinates logistics for meetings and performs event management duties. The Administrative Assistant III role requires someone who can think quickly on their feet, multitask, pay close attention to detail, and maintain a positive and friendly demeanor while working in a professional environment.

Job Duties

  • Manage routine and efficient operation of the VPIT front office, including ensuring that the office is opened and closed at set times; answer and screen calls, visitors, and mail; provide information and assistance to requests for information.

  • Monitor and respond to office e-mail accounts and inquiries.

  • Schedule, organize, and plan for meetings and events; prepare agendas and meeting materials; assist with managing various calendars.

  • Monitor and communicate timelines and deadlines to ensure they are met and communicate changes to appropriate individuals.

  • Investigate and answer inquiries and aid in resolving issues.

  • Assist in composing and proofreading various documents and correspondence.

  • Develop and maintain office files and logs to ensure accurate information; document processes and keep them current.

  • Manage filing system in accordance with University records retention rules.

  • Safeguard confidential information exercising judgement and discretion.

  • Oversee student worker(s) including schedule coordination, training, and daily assignments.

  • Prepare and submit travel documents and purchase requisitions; verify documents for accuracy.

  • Coordinate arrangements for division-wide events including planning, room reservations, and event set up/clean up.

  • Interact with senior administrative offices.

  • Perform other duties as assigned.
