Temporary Administrative Assistant, Fabrication – San Jose, CA

This is a temporary contract position.

About the Role

Our team member, in their daily role, efficiently transforms email requests into shop fabrication orders using our semi-automated software. They exhibit a high level of language skills, swiftly sorting tasks and maintaining excellent email conversation skills.

They are proficient in Microsoft Office, using it professionally to manage various tasks. They also navigate and utilize our proprietary software with ease, contributing significantly to our operations.

Typing is a significant part of their role, and they excel at it, ensuring smooth and timely execution of tasks. Their ability to juggle these responsibilities effectively makes them a valuable asset to our team.

Job Responsibilities include:

  • Compile email requests into shop fabrication orders using our semi-automated software, requiring a high degree of language skills and the ability to sort tasks quickly.

  • Proficiency in using our proprietary software, which is integral to our operations.

  • Contribute to the development and execution of stated goals, objectives, and provide comprehensive administrative support to the team.

  • Provide comprehensive administrative support to the team.

  • Effective communication with clients and team members.

  • Perform word processing tasks, including editing and formatting documents.

  • Handle confidential and time-sensitive material responsibly.

  • Establish, update, and maintain files, records, and other documents as required.

Job Requirements include:

  • Proficiency in Microsoft Office, including the ability to create and manage documents, spreadsheets, presentations, and more.

  • Accurate and efficient typing skills to ensure smooth and timely execution of tasks.

  • Excellent written and verbal communication skills.

  • High attention to detail

  • Ability to work independently

  • Strong analytical skills and demonstrated ability to manage multiple tasks

  • Candidate with an HVAC service or construction background is preferred

  • 1-2 years of experience in an administrative role required
