Description

We are seeking a proactive and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant in a construction setting, you will play a crucial role in supporting day-to-day operations and maintaining efficient administrative processes. This position requires a candidate with strong organizational skills, excellent communication abilities, and the ability to collaborate effectively with various teams within the company.

Key Responsibilities:

Office Coordination:

  • Manage front desk operations, including answering phones, welcoming visitors, and ensuring a tidy reception area.

  • Coordinate meetings, appointments, and conference room bookings.

Document Management:

  • Organize and maintain project documentation, contracts, and other construction-related paperwork.

  • Assist in document preparation, formatting, and proofreading.

Communication:

  • Facilitate effective communication between office staff, project managers, and field personnel.

  • Handle incoming calls, emails, and inquiries in a professional and timely manner.

Vendor and Client Relations:

  • Assist in managing relationships with vendors, suppliers, and clients.

  • Coordinate deliveries, process invoices, and maintain accurate records.

Project Support:

  • Provide administrative support to project managers, including scheduling, travel arrangements, and reporting.

  • Assist in the preparation of project-related documents and presentations.

    Requirements

Qualifications:

  • Proven experience as an administrative assistant, preferably in the construction or related industry.

  • Strong organizational and multitasking skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent written and verbal communication skills.

  • Familiarity with construction terminology and processes is advantageous.

Education and Experience:

  • High school diploma or equivalent; additional education in office administration or a related field is a plus.

  • Previous experience in a construction company or similar setting is preferred.
