BioBridge Global Sales Operations Coordinator in San Antonio, Texas

South Texas Blood & Tissue is an AABB-accredited blood bank. It operates nine donor centers in South Texas, distributing blood, plasma, platelets, and other components to regional hospitals and emergency first responders. It also provides starting materials to therapeutic developers, and clinical research services. Its apheresis center received FACT accreditation in 2022 for peripheral blood cellular therapy product collection. As an AATB-accredited tissue bank, it offers tissue recovery from living and deceased donors.

General Summary

The Sales Operations Coordinator is responsible for helping achieve established revenue goals, by managing billing, contracts, and sales-related services, for current and future partners.

Will identify, communicate, and propose process improvements leading to a smoother daily operation.

Manage continued engagement with partners by conducting visits and hosting educational events/audits.

Support, communicate and reinforce the mission and vision of the enterprise.

Provide world class customer service by capturing and being responsive to the voice of the customer (internal or external, including donors for select positions) through multiple feedback channels in order to resolve issues and drive satisfaction in accordance with the BBG customer engagement, feedback, and complaint processes.

It is essential that the incumbent have a valid driver's license and be at least 18 years old with a good driving record to meet organization driving standards.

Major Duties and Responsibilities

Essential Tasks

Assist in the indirect achievement of established revenue goals through the improvement of operational efficiencies, within the assigned product line while adhering to department guidelines and performance requirements.

Assure appropriate planning to execute timely contractual renewals.

Consistently implement fundamentals of customer-experience relationship selling, including facilitating executive involvement.

Follow and enforce safety policies and procedures.

Assist with all necessary quality control procedures and maintain complete records of results.

Work closely with departmental management to ensure products are in line with regulatory standards.

Maintain inside sales and communication with customers, both internal and external.

Develop and maintain customer usage reports.

Manage all aspects of customer visits.

Assist the operations team with distribution tasks when necessary.

Develop and maintain a positive working relationship with all external customers to include hospital personnel

and procurement agencies.

Possess excellent interpersonal skills, great listener, written and oral communication skills, and ability to interact and collaborate with culturally diverse stakeholders.

Works independently with little guidance or reliance on oral or written instructions and plans work schedules to meet goals.

Attend in-service training, meetings, seminars, and other workshops as required.

Maintain a close working relationship with Product Management leaders keeping them informed of pertinent/relevant issues.

Assist in developing selling strategies to target opportunities.

Participate in sales calls to support sales team members.

Track and support contracting processes to closure or renewal, providing appropriate updates in Sales Force software.

Contribute to sales meetings by providing necessary data and documenting meeting notes, agendas, and outcomes.

Matches invoices to purchase orders.

Ensure invoice amounts are accurate and timely.

Maintain frequent and open communications with the finance teams to ensure the timeliness of credits, if applicable, to customers.

Performs other duties as assigned.

Education

Requires a high school diploma or general equivalency diploma.

Prefer a Bachelor’s Degree from an accredited college or university.

Licenses and/or Certifications

Valid United States Driver’s License

Experience

Requires four or more years of customer management and knowledge of the healthcare industry.

Requires strong experience in planning for multiple accounts and inside sales activities.

In some cases, an equivalency, consisting of appropriate education, training and or related experience, will be considered sufficient for an individual to meet the role's requirements.

Knowledge

Must maintain knowledge of and perform according to Standard Operating Procedures (SOPs) and policies.

Must acquire and maintain a working knowledge of accessing web-based programs and software.

Skills

Must be capable of operating motor vehicles in all types of weather conditions.

Must have experience using Microsoft Office applications including Word, Outlook, PowerPoint and Excel.

Must have excellent written and oral communication skills.

Abilities

Must be a team player.

Must be able to keep information confidential.

Must be able to make good sound judgment decisions.

Must be neat in appearance and well groomed.

Working Environment

May be required to work at any time of the day, evening or night during the week or weekend.
