Robert Half is currently seeking Executive Assistants with a strong, vibrant personality to work closely with upper-level executive clients in the Salem area. The ideal Executive Assistant will have strong organizational skills, the ability to take initiative, and be able to prioritize tasks independently. The Executive Assistant will be responsible for managing all email correspondence, keeping executives on track for meetings and travel, and must be extremely detailed-oriented and proactive. The Executive Assistant is also responsible for dealing with highly confidential information and will act as the first point of contact for the office (greeting guests and clients on the telephone and answering or directing inquiries for vendors). The Executive Assistant must have prior administrative experience, be detail-oriented, possess strong communication (both oral and written), be proficient in Microsoft Office (Word, Excel, and Outlook), and have the ability to anticipate the needs of executives.

Job Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and handling correspondence.

  • Travel Coordination: Coordinate travel arrangements, including booking flights, hotels, and ground transportation, and prepare detailed itineraries for executives.

  • Document Management: Prepare, format, and proofread documents, presentations, and reports for meetings and events, ensuring accuracy and professionalism.

  • Confidentiality: Safeguard the confidentiality of sensitive information and manage executive-level communications discreetly.

  • Stakeholder Liaison: Act as a liaison between executives and internal/external stakeholders, including clients, partners, and team members, facilitating communication and collaboration.

  • Task Prioritization: Prioritize and manage incoming requests, emails, and phone calls efficiently, ensuring urgent matters are addressed promptly.

  • Project Coordination: Oversee and facilitate special projects delegated by executives, ensuring they are completed on time and within budget.

  • Research: Conduct research and gather data to support decision-making processes, providing executives with relevant information.

  • Financial Monitoring: Monitor budgets, expenses, and financial reports, assisting in expense tracking and reporting as needed.

  • Event Management: Assist in organizing and coordinating company events, conferences, and board meetings, handling logistics and ensuring smooth execution.

    Requirements

  • Experience: Proven experience as an executive assistant or in a similar role, demonstrating a strong track record of providing effective support.

  • Organizational Skills: Exceptional organizational and time-management skills, with the ability to juggle multiple tasks and priorities.

  • Communication: Excellent written and verbal communication skills, including a high level of professionalism and attention to detail.

  • Software Proficiency: Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management (Outlook or equivalent), and other relevant software tools.

  • Discretion: Demonstrated ability to handle sensitive information with the utmost discretion and confidentiality.

  • Accuracy: Exceptional attention to detail and accuracy in all tasks, from document preparation to data entry.

  • Proactivity: Self-motivated and proactive, with the ability to anticipate the needs of executives and take initiative.

  • Problem-Solving: Effective problem-solving skills and adaptability to changing priorities and situations.

  • Interpersonal Skills: Strong interpersonal skills and the ability to build positive working relationships with colleagues and external contacts.

  • Flexibility: Willingness to occasionally work extended hours or weekends when necessary to meet business demands.
