AGC of MIssouri Administrative Assistant (Admin Assistant) in Saint Louis, Missouri

Responsible for providing administrative support to the AGC of Missouri Workforce Development Department and other AGC of Missouri departments as needed. Specific Responsibilities: Assist in the Workforce Development Department and Labor Relations Department by providing clerical support including photocopying, word processing/spreadsheets, filing, and other necessary duties. Insure that telephone coverage is maintained for incoming calls during business hours. Answer phone inquiries and direct incoming calls as needed. Coordinate phone services including programming the phone system, updating the phone directory, voice mail, speed dial settings and provider lists as needed. Assist in troubleshooting phone outage and establishing service. Distribute incoming and interoffice mail to staff as needed. Receive incoming packages and shipping. Operate and oversee the use and care of various pieces of office equipment including troubleshooting, preventive maintenance, and maintaining supplies. Direct and assist all walk-in applicants, apprentices, and visitors. Maintain and post the daily meeting schedule in the hallways and the monitor system. Maintain the online room reservation calendars and scheduling for all meeting rooms and classrooms. Provide support for events held at the Construction Training School during business hours. Provide support for classroom technology during business hours. Perform monthly quick tests of classroom technology. Organize and review building related invoices and forward to accounting department as needed. Provide correspondence as needed including invoice coordination for events. Inventory and maintain the stock of office and kitchen supplies for the Workforce Development Department and Labor Relations Department. Coordinate outside vendors and service providers for CTS facility. Manage logistics for the AGCMO Education Foundation Scholarship Program. Prepare and distribute meeting notices for joint apprenticeship meetings, schedule meeting rooms, confirm committee member attendance, copy agenda and attachments as needed. Attend and record minutes for IW Joint Apprenticeship Committees as requested by the VP of Workforce Development. Draft minutes and route to the VP of Workforce Development. Attend and take notes for meetings of CTAF, Education Foundation, and Scholarship Committee. Draft minutes and route to appropriate person/people. Enter information into the iMIS database for all Workforce Development classes. Prepare permanent electronic and paper documents for these classes and arrange refreshments and meals as needed for classes. Assist the Program Manager with events and classes including registering participants, processing sponsorships for events, preparation of materials for shipping, and editing event web pages as directed. Work with other AGCMO support staff to assist with the iMIS database system by maintaining and keeping member contact information up to date. []{times="" new="" roman",se=""}
