Position Overview: Jessup Systems is seeking a highly organized and proactive Office Administrator & Project Coordinator to join our team. This multifaceted role is essential to ensuring the smooth operation of our office, effective management of our network file structure, and successful coordination of various projects. The ideal candidate will possess strong administrative skills, excellent attention to detail, and the ability to engage and motivate team members. Key Responsibilities: * Office Administration: * Maintain and manage the network file structure, ensuring organized and efficient access to files and documents. * Coordinate facility cleaning schedules and liaise with cleaning staff to ensure a clean and safe work environment. * Take and organize shipping pictures, maintaining records for quality control and verification purposes. * Support the invoice and payment schedule, ensuring timely processing and tracking of payments. * Team Member Engagement: * Act as the engagement leader, fostering a positive and collaborative team environment. * Organize and participate in team-building activities and events to enhance team cohesion and morale. * Project Coordination: * Input project budgets into the ERP system with precision and attention to detail. * Schedule and participate in project kickoff meetings, ensuring all necessary stakeholders are informed and prepared. * Monitor the General Manager's schedule and project timelines, providing updates and ensuring adherence to deadlines. Qualifications: * Proven experience as an Office Administrator, Project Coordinator, or similar role. * Strong organizational and multitasking skills with a keen attention to detail. * Proficiency in ERP systems and budget management. * Excellent communication and interpersonal skills, with the ability to engage and motivate team members. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software. * Ability to handle sensitive information with confidentiality and professionalism.
