Citizens Corporate Affairs Business Support Manager II in Providence, Rhode Island

The Corporate Affairs Business Support Manager II reports to the Head of Public Affairs, manages strategic and detail-oriented work for a variety of department operations and initiatives that enhance the reputation of the enterprise. This helps drive the department’s effectiveness, engagement, and operational excellence.

Through finance, administration & project management activities, this role helps drive bank’s community strategy throughout the footprint. Individual in role empowers other team members to maximize their focus on community activities by managing and implementing assigned financial and/or business support services for the group including department OKR goal development and reporting, budgeting and forecasting, risk management, efficiency efforts, program governance, and people support.

Individual in role assesses operational challenges and risks, efficiency gaps and new opportunities, while working to develop and implement solutions with Corporate Affairs leadership as appropriate. Serving as a critical liaison for internal business partners, this colleague will often be deployed to execute on critical, high-level projects that require cross functional collaboration, as well as risk and process expertise. Examples include: annual strategic business planning and change management initiatives. Individual must be a creative, flexible, strategic and agile professional who can navigate a fast-paced & evolving organization with ease.

Primary Responsibilities:

40% - Primary focus of role: Finance Strategy & Budget Management

  • Drives and informs annual budget & three-year strategic planning process – integrating multiple pieces of data/financial information to identify themes, trends and opportunities for department - advising senior leaders on allocation of resources across projects to support cost-effective execution of community strategy.

  • Develops department’s finance presentations for senior executives and Corporate Finance - effectively articulating department spending strategy and impact – as well as alignment with the enterprise’s key objectives.

  • As Finance lead, individual interfaces with wide range of external and internal partners and vendors serving as point of contact for all components of the finance process including components of the charitable giving payment process (managing the Cybergrants approvals, sourcing requests, supplier set-up, purchasing, invoicing/bill payment, GL tracking/accounting, accruals and reclasses).

  • Responsible for development and management of Corporate Affairs’ local market budgets – including monthly/annual/three-year forecasts, budget file & data management, resource allocation, as well as monitoring the application of financial resources against budget in alignment with forecast and SOPs.

  • Utilizes data to create reports utilizing excel, pivot tables and other tools and approaches to analyze data, identify key themes, trends, insights and articulate findings.

20% - Project Management & Department Strategy Efforts

  • Serving as a critical liaison for internal business partners, this colleague will often be deployed to execute on critical, high-level and large projects that require cross functional collaboration, as well as risk and process expertise. Regularly contributes to broader planning efforts and provides tactical execution guidance and business support within area of expertise for enterprise-wide and department initiatives – ensuring alignment with budget, risk framework, strategy and key objectives.

  • Participates in the development and implementation of department strategy, operational priorities, as well as local and enterprise-wide community initiatives and projects. Creates project plans and timelines, as well as executes key deliverables as needed.

25% - Performance Management & Continuous Improvement

  • Serves as a group advisor and training resource for new and existing team members sharing process and risk expertise and ensuring team members are knowledgeable of the regulations, policies, procedures and compliance requirements as they pertain to their scope of activity.

  • Helps drive department efficiency identifying opportunities to streamline functional activities to enable effective enterprise-wide community strategy execution. Also leads training and process improvement efforts for key processes within area of responsibility to build team capabilities.

  • Engages and inspires team throughout annual OKR performance management process cycle. Fosters a motivated team environment by setting colleagues up for success through the establishment and ongoing communication of clear objectives.

15% - Operations & Risk Control

  • Collaborates with Corporate Giving partners as needed to support risk management activities such as audits, charitable contributions, grants and sponsorships vetting, vendor management, assigned Cybergrants duties and philanthropic funding distribution.

  • Implements & maintains strong internal controls in areas of assigned responsibility to provide reasonable assurance of effective and appropriate resource use, accurate department data reporting, and adherence to policies, procedures, and external regulatory requirements.

  • Takes corrective action with team members as needed protect Citizens’ assets, resources, information and reputation.

  • Proactively anticipates and manage risks that emerge or are created by group business activities - collaborating with department leaders to modify policies, procedures and terms and conditions as necessary to manage risk.

Management Responsibility:

  • Strong Microsoft 365 skills – including PowerPoint, Excel and others.

  • Ability to relationship manage and inspire a high level of commitment and performance. Comfortable assuming an advisor/consultant approach as needed.

  • Strong communication (written and verbal), critical thinking, and problem solving skills

  • Emotional intelligence & collaborative mindset; strong organizational skills.

  • Ability to exercise independent judgment in handling confidential information and professionalism with senior executives.

  • Strong financial acumen, including experience preparing budgets, forecasts and financial plans.

  • Strong analytical skills and experience, with the ability to quickly synthesize a large volume of data, generate reports and summarize key insights.

  • Demonstrates creativity and agility – with an ability to quickly adapt to change to navigate a fast-paced and evolving organization with ease.

Experience:

  • A minimum 5-7 years of diverse experience in business support and project management roles within related fields.

  • Demonstrated experience preparing budgets, forecasts and strategic financial plans.

  • Motivated self-starter with detail-orientation and ability to see the big picture.

  • Successful record of leadership/coaching/supporting fellow colleagues to achieve/improve results.

  • Demonstrated creativity and effectiveness in complex project and budget management and the engagement of key stakeholders in the process.

  • Risk management experience.

Preferred Experience:

  • Experience in banking/financial services preferred and background in related fields such as public affairs, charitable giving, communications, marketing, business management and/or finance preferred.

  • Understanding of best practices in philanthropy is preferred.

Education: Bachelor’s Degree or Associate Degree Preferred

Hours & Work Schedule

  • Hours per Week: 40

  • Work Schedule: 8:30am – 5:00pm (3 in Westwood, MA, Providence RI or Johnston RI Office – Monday, Tuesday and Thursday, 2 remote – Wednesday and Friday is what we strive for; sometimes there are changes to days)
