Reporting to the President/CEO, manages and coordinates the day-to-day operations of the executive office of the President/CEO. Provides assistance and support by performing various confidential administrative, assistant and secretarial responsibilities for the President/CEO. Represents the executive office to internal and external constituencies and organizations including various public officials, legislators, representatives from regulatory agencies, and other healthcare executives. Coordinates Chief Executive Officers office. Makes judgments on behalf of executive staff and assures all functions are covered at all times. Has latitude in acting, signing and speaking on behalf of executive staff in their absence. Assures that the quality of outgoing reports, correspondence and other printed information is of high quality.

\ ESSENTIAL RESPONSIBILITIES

  • Represents CEOs office in a professional and astute fashion. Acts as a liaison between staff and CEO. Communicates effectively with all levels of staff and public figures.
  • Coordinates the CEOs schedule, anticipates concerns, and takes initiative to proactively resolve conflicts.
  • Completes specific work projects as assigned relative to administrative operations.
  • Brings priority items to the attention of the CEO.
  • Prepares for meetings, notifies participants, prepares agenda, orders food, organizes room set up, takes and transcribes minutes of special committee meetings, regular meetings, and other meetings, including board meetings.
  • Performs corporate functions for board of directors, including maintenance of corporate records and documents of the board of directors and committee meetings.
  • Documents board activities in accordance with JCAHO standards.
  • Responds to calls and visits from employees, other visitors including the public at large; determines urgency of the situation. Suggests appropriate referrals. Answers telephones, prioritizes, screens and redirects calls. Answers questions, handles routine matters on own initiative and takes messages.
  • Maintains files in an organized and easily accessible fashion. Files include minutes of meetings, policy and procedure manuals, JCAHO required files, and other necessary documentation. Maintains security of confidential information.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors and fellow employees to ensure a professional, responsible, and courteous environment. Interactions are customer oriented, courteous, and helpful, with timely follow up when needed.
  • Promotes effective working relations and works effectively as part of a team to meet its goals and objectives.
  • Maintains understanding of organizational structure and changes within organization. Supports the CEO accordingly.
  • Ensures that the activities of the executive office are effectively coordinated with those of the leadership team, medical staff and the board of directors.
