In this role, you will provide expert and proficient administrative support to the lead of Aortic Operating Unit in Western Europe Region. Independently perform complex and diverse administrative duties while taking a proactive approach to anticipate and meet needs. Daily activities may include interaction with high-level contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion and judgment.

To be successful in this role, you have affinity with administrative tasks, work accurately and like to work structured. You are a distinct team player, who’s able to build relationships with colleagues, and have excellent communication skills. Managing several tasks, priorities and projects at once poses no problem for you. These skills enable you to drive improvements and tackle possible resistance.

A Day in the Life

• Provide proactive administrative support to the Aortic Operating Unit Leaders including preparing communications, scheduling and coordinating meetings, conferences and travel (regional and international).

• Support special projects and events in conjunction with Marketing, Medical Science and Medical Education teams.

• Provide support for complex meetings, demonstrating capability in audio conferences, video conferences, and a mastery of other technology as needed. Plan, prepare and coordinate special meetings including agendas, meeting materials, logistics, action items, travel and catering.

• Support Contract Management - you will be responsible for handling of agreements between Medtronic and Healthcare professionals, using special contract managements system (Electronic Compliance and Agreements Tracking System - eCATS).

• Perform various administrative duties including basic finance management, Internet/Intranet research, facilities coordination, setting up new hires, ordering supplies and equipment if needed, maintain confidential records, files, organizational charts and email distribution lists.

• Work independently, anticipating next steps, taking initiative, exercising discretion and sound judgment to ensure the leaders are well-prepared for all elements of their daily and weekly schedule. Demonstrate learning agility and be able to pivot to accomplish tasks and assignments quickly.

• Act as an information resource for Medtronic standards and policies, quality & regulatory procedures, compliance policies to ensure & drive quality results.

Must Haves

• 3 years of administrative or event management experience.

• Fluent English (proficiency both verbal and written).

• Strong communication and organizational skills.

• Positive Mindset and Personality.

• Can do attitude.

• MS Office – Outlook, PowerPoint, Excel, Word.

Nice to Haves

• Bachelor’s degree.

• Demonstrated complex problem-solving skills, flexible and agile in a constantly changing environment.

• Exercises independent judgment and discretion.

• Ability to interact effectively with senior level executives both internally and externally, strong teamwork and collaboration skills

• Ability to work well under pressure in a dynamic environment

• Good analytical and organizational skills, excellent customer service skills

• Ability to balance multiple time-sensitive tasks, exceptional attention to detail

• Excellent interpersonal and communication skills, advanced in virtual Meetings and webinars
