Job Summary

  • The Office Coordinator acts as a receptionist for the entire Pre-Surgical Testing Department and is responsible for the clerical and primary communications functions. These functions include helping with scheduling the Pre-Surgical Testing appointments.

    Responsibilities

  • Receptionist Functions

  • Greets all patients arriving in the Pre-Surgical Testing Department and Bariatric Department. Goes beyond the role of receptionist by troubleshooting for the patients who arrive at the desk in need of directions or information.

  • Reviews all demographics information with the patient to ensure all information is correct and updates information in Meditech. Communicates corrections with Patient Registration as needed.

  • Enters allergy information into Meditech on all patients.

  • Obtains signature for the Hospital’s consent to treat and release of information for billing purposes.

  • Calls multiple physician offices to obtain lab work and EKG on patients that were done prior to PST visit.

  • Verifies patient’s arrival in Meditech system.

  • Notifies the Pre Surgical Testing Nurses of the patient’s arrival.

  • Answers all telephone lines in PST and Bariatricspromptly, within 2 to 3 rings demonstrating appropriate telephone etiquette. Checks Bariatric phone messages throughout the day. Returns calls to Bariatric patients and screens potential new patients to see if they meet criteria.

  • Triages messages in an accurate, courteous and timely manner.

  • Writes messages clearly and completely.

  • Creates PST chart from Form Fast. Prints forms for surgical visit charts.

  • Maintains a positive, pleasant attitude when interacting with patients and families, physicians and their office staff.

  • Receives mail for the department sorts and distributes to recipients.

  • Clerical / Computer Functions

  • Enters all Pre Surgical Testing and other Ancillary department orders into the computer.

  • Prepares lists of patient appointments for Bariatrics Maintains log-in sheet and sends copy to BillingDepartment.

  • Appropriately communicates with Pre-Surgical nurses regarding concerns/issues.

  • Insures confidentiality and safety of computer files per Hospital policy.

  • Scheduling-Bariatrics

  • Schedules patients for new consults, band adjustments and 1 Day Workups.

  • Coordinates with Psychology, Dietary, Pulmonary and Cardiology Departments to schedule 1 Day Workups. Calls patients with schedule.

  • Bariatric Classes/Seminar. Prepares patient packets for class. Attends class on the 2nd Wednesday of every mont. Sets up seminars (schedules room and refreshments). Answers questions and sets up future appointments. Maintains list of patient ambassadors.

  • Quality Improvement

  • Assists in data collection as needed.

  • Maintains data for Bariatrics Program. Participates in QI activities. Proposes creative solutions to improve patient satisfaction and/or safety.

  • Performs other duties as directed.

    Qualifications/Requirements

  • EXPERIENCE

  • Two years minimum secretarial, clerical office experience with computer skills.

  • EDUCATION

  • High School Education.

  • If applicable, the individual performing this job may reasonably anticipate coming into contact with human blood and other potentially infectious materials. Individuals in this position are required to exercise universal precautions, use personal protective equipment and devices, and learn the policies concerning infection control.
