The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the DA/COO, the Senior Operations Manager will be responsible for operations for all Rehabilitation Medicine medical practices. The incumbent will manage clerical office including 11-13 staff as well as the logistics of the Nurse leader. Oversight of medical support staff will report up to this position, with the nurse leader being the frontline supervisor for them. Works collaboratively with physicians, administration, and clinical leads, and staff to ensure the achievement of practice-wide operational and financial goals/metrics.

Responsibilities

  • Plan and organize all aspects of clerical services for patient access, practice sites, and new site development.
  • Manages all operational processes and activities ensuring organizational guidelines and policies are followed.
  • Monitors key performance indicators and supports performance improvement initiatives, as needed.
  • Manage EPIC templates, referral work queues, registration work queues, in-basket pools, delegating to Office Coordinator as needed.
  • Assures Physician Time Off Outlook calendar is managed and contains coverage details.
  • Working collaboratively with the Associate Chair of Operations for room allocation and practice hours and ensuring optimal use of the practice space throughout all hours of operation by optimizing staffing ratios and patient density.
  • Assisting with oversight of practice flow and patient throughput to maximize efficiency and productivity.
  • Act as a liaison with Columbia Doctors management at Rehabilitation Medicine sites.
  • Routinely visit sites to assure streamlined clerical operations across sites.
  • Identify opportunities for increased efficiency.
  • Implement customer service initiatives to address opportunities for enhanced patient experience.
  • Assesses the performance and competencies of the practice support staff team, conducting performance reviews in alignment with Human Resources and departmental procedures.
  • Provides ongoing guidance and support to employees regarding work activities, procedures, competency development, and performance-related matters.
  • Proactively addresses performance issues carries out progress discipline as needed.
  • Promotes staff professionalism and performance with coaching, training, and feedback.
  • Mentors others in individual and team accountability, modeling behavior and demonstrating best practices/techniques.
  • Hold regular staff meetings to guide and direct activities; enhance communication and foster a team environment.
  • Collaborate with Ambulatory Facilities Operations to ensure the site's cleanliness and safety according to practice standards.
  • Escalates any issues as needed and ensures follow through.
  • Manage the appropriate amount of supplies needed in practices areas and place orders.
  • Work with Clinical Manager and Lead Fluoroscopy Technologist to ensure equipment is adequately maintained.
  • Identify and assist in the resolution of patient issues to ensure patient satisfaction.
  • Ensures compliance with all regulatory agencies, departmental, Service Corp and organization policies and procedures for all staff.
  • Keeps current on all organizational, regulatory compliance and patient privacy trainings policies (e.g. infection control, public safety, EH&S, HIPAA, OSHA, etc.) and ensures that all staff has successfully completed all required trainings and are informed of policies and procedures.
  • Represent department in FPO, CUIMC, or other meetings.
  • Prepare and present reports that have operational implications.
  • Manage and oversee special projects.

Minimum Qualifications

  • Requires Bachelor's degree or equivalent in education, training, and experience, plus four years of related experience.
  • Must have physician practice experience.

  • Demonstrated proficiency in problem assessment, resolution and collaborative problem solving in complex, and interdisciplinary settings.
  • Strong organizational skills, communication, and interpersonal skills to work effectively with a wide variety of individuals.
  • Manage and build high-performing teams and develop/ mentor staff.
  • Must be a motivated individual with a positive mindset and exceptional work ethic.
  • Must successfully complete systems training requirements.
