Title: Front Desk/ Administrative Assistant

Program: Next Step Program

Schedule: In office (up to 20 hours a week)

Salary Range: $19 Hourly (per diem)

Program Description:

Project Renewal’s workforce development (WFD) division helps individuals with histories of homelessness, substance use, mental illness, and justice involvement to prepare for, find, and retain employment. Programming includes pre-employment services, soft skills training, sector-based training, digital literacy, financial literacy, case management, job retention, career advancement and alumni services. Within the WFD division, Next Step operates several training programs: Employment & Training, Human Services Training, Next Step Internship Program, and Career Advancement Program.

Overall Responsibilities:

The Administrative Assistant will be responsible for supporting various programs, as well as assisting with the front desk for Project Renewal’sNext StepProgram. They will assist in ensuring the smooth operation of the Next Step office, including supporting staff and clients, scheduling of clients with Next Step staff, data entry, managing incoming and outgoing calls, maintaining updated and accurate client attendance records and maintain accurate record of metro card distribution.

Essential Duties and Responsibilities:

Reporting to the Business and Operations Manager of Next Step, the essential duties of the position includes but are not limited to the following:

  • Answers phone calls and directs callers to appropriate personnel, and assists clients and other visitors

  • Maintain the Front desk sign-in sheet

  • Monitors the flow of clients in the waiting area

  • Assist with updating bulletin boards and resources

  • Maintain waiting area, meeting rooms, and coffee stations, and replenish supplies as needed

  • Assist with room reservations and scheduling

  • Provide front desk coverage

  • U pdate clients’ case records in the internal database, Salesforce

  • Update course attendance record and metro card distribution records in Salesforce

  • Scan and upload documents to clients’ records in Salesforce

  • Assist with updating funder information in client records in Salesforce

  • Call clients to verify their employment and HRA verification

  • Assist Sr. Director and Director with administrative duties

    Qualifications:

  • High School Diploma or Equivalency required

  • Excellent presentation and communication skills required

  • Prior front desk experience in workforce development programs or similar setting preferred

  • Prior work experience with individuals with histories of homelessness, substance use, mental illness, and justice involvement

  • Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) required

  • Experience with virtual platforms (Microsoft Teams, Zoom, Slack, Google Classroom, etc.)

  • Knowledge of Salesforce or similar database

  • Candidate must be an approachable, reliable, and responsible individual

  • Strong interpersonal and organizational skills

  • Excellent data entry and problem-solving skills

  • Strong attention to detail

  • Understand the needs of the participants who have histories of homelessness, substance use, mental illness and/or justice involvement.

  • Ability to multitask in a fast-paced environment.

  • Ability to effectively access situations and notify supervisors if support is needed

  • Excellent time management skills and the ability to prioritize work

  • Ability to produce clear, accurate and well-organized case notes

  • Maintain confidentiality and security of client records, and ensure compliance with privacy policies and regulations

  • Ability to work well independently and in collaboration with others

    All newly hired Project Renewal staff must provide verification of being fully vaccinated against Covid-19.
