Job Summary and Qualifications
The Project Assistant is responsible for assisting Design & Construction Leadership, Construction Managers and Design Managers with the flow of all construction project information and documents. This position assists with making sure audit guidelines and department construction processes and procedures are carried out efficiently, effectively and accurately. The Project Assistant is also responsible for other administrative duties as needed
Audit/Inspection Responsibilities
· Coordinate Design Contract Checklist and verify all contract documents have been received.
· Review and process Contractor and Architect invoices for compliance in accordance with contract terms and ensuring all required supporting documentation is appropriate and accurate. This will also include communicating directly with contractor and architect firm personnel to resolve any billing issues. For changes to contracts (i.e., change orders, DCAs), must verify the dollar amount of the change does not exceed the budget.
· E-Builder administrative duties related to setting up new users, assigning users to projects, ensuring proper documentation is maintained for all new user setups, etc.
· Submission of monthly e-Builder reports per audit guidelines to Design and Construction leadership per our approval policy.
· Submission of Design & Construction travel expenses within Concur validating all required documents are uploaded and expenses charged to the correct accounts.
· Monthly reconciliation of department Purchasing Card.
· Periodic review of closed projects to remove all external users per audit guidelines.
Administrative Responsibilities
· Manage phone calls, coordinate calendars, secure meeting rooms, order food, etc. for AVP of Construction, Design and Capital Strategy.
· General office duties (e.g., receiving and distributing mail, preparing overnight mail packages, ordering supplies, etc.
· Distribute various weekly reports to Construction Managers.
· Coordinate Preliminary Service Agreements, Environmental Agreements and other miscellaneous agreements from proposals. Work with the Construction Manager and Project Accountant to initiate the agreement, send it to the vendor for review and signature, and track to make sure the agreement is returned timely. When the vendor signed agreement and supporting documents are returned, start the appropriate eBuilder process. Upon completion of the approval process, return the executed agreement to the vendor.
· Receive electronic files from vendors (e.g., testing reports, status reports, etc.) and upload into the eBuilder system
Train and assist Vendors/Construction Managers on the use of eBuilder:
Train new users
Serve as the primary point of contact with vendors for system-related questions
Troubleshoot issues with vendors
Provide support to Construction Managers
Education Requirements
· Highschool diploma or equivalent
· Bachelor’s degree, preferred
· 3 years of relevant experience
