Job Description
This position will serve to accomplish the mission of K-12 programming at Minnesota West Community and Technical College. This position provides front-line comprehensive service and support to students, families, college personnel, and external clientele advancing student success, college enrollment, and registration and academic record’s services. The position will maintain and evaluate academic records and files of REACH and/or PSEO students, of which includes processing their application and registration.
Job Responsibilities:
Provide comprehensive support to students, families, employees, campus visitors and external clientele.
Respond to complex student, family, faculty, and staff inquires for assistance. Address e-mail, online messages and chat, fax, and telephone inquiries and communications in a professional and proactive manner.
Provide a consistent presence for Registration and Academic Records for prospective and current students, families, faculty, staff, and external clientele answering diverse technical and specific questions about the university and course enrollment.
Provide detailed information and assistance to students, faculty, and staff regarding student enrollment and registration and academic records processes and services.
Manage the processing data of Post Secondary Education Option (PSEO) and Concurrent Enrollment Students.
Process student admissions applications for the REACH/Concurrent Enrollment/PSEO programs including collecting, recording, verifying, reconciling, maintaining, and/or reporting on admissions and continually evaluating and improving processes so that students are communicated to in a timely manner, accurate records are maintained and available when needed and regulatory reporting requirements are met.
Send instructions to high school contacts to coordinate admissions.
Send out PSEO denial letters as determined by other staff.
Student Registration
Process student registrations and approve overrides including collecting, recording, verifying, reconciling, and maintaining student data and continually evaluate and improve processes so that accurate records are maintained and available when needed and regulatory reporting requirements are met.
Process partnership course registration agreements. Process appropriate documents in ImageNow within the assigned work flows. Process registrations for the REACH/Concurrent Enrollment/PSEO programs with the Director of K-12 Partnerships.
Process final grades and communicate with the Director of K-12 Partnerships and the high school liaisons at the end of semesters for graduating students. Send rosters out to confirm registrations at the beginning of the semester. Utilize Power BI to complete end of term PSEO and Concurrent Enrollment reporting required by the state.
Provide assistance to the Director of K-12 Partnerships and Director of Enrollment.
Run reports, create spreadsheets, and develop letters and other projects as assigned by the Director of K-12 Partnerships, Director of Enrollment other departments.
Enlist the assistance of other office support staff to help ensure projects are completed in a timely manner.
Represent the Office of Admissions on campus wide committees, included student services, and may need to attend off campus events including PSEO and/or REACH orientations.
Possible work shift changes during peak enrollment periods and other college functions (i.e. evening hours for Open House and Information Nights).
Perform duties that support our National Alliance of Concurrent Enrollment Partnerships Accreditation (NACEP).
Perform work duties that support our NACEP accreditation such as but are not limited to maintaining a spreadsheet in SharePoint verifying assignments and mentors.
Conduct surveys for REACH mentees including the collection of, data review, and writing a report and distribution.
Coordinate site visit reporting and ensuring that all reports come in. Maintain the REACH professional development site on D2L and review the accuracy for REACH materials on our college website.
Salary Range:
21.90 - 31.21 USD Hourly
Minimum Qualifications
Ability to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
Ability to interpret and explain program information to customers, clients, and coworkers such as policy, procedures, eligibility requirements, application details, and payment methods.
Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.
Knowledge of computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
Skill in database management sufficient to enter and retrieve data.
Skill in document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information.
Ability to analyze and make recommendations to management for new or revised administrative and program practices and procedures for smooth and efficient office operation.
Preferred Qualification
Associates Degree from an accredited college.
Knowledge of admissions procedures and services sufficient to answer student, staff, and the public’s questions.
Knowledge of registration procedures and services sufficient to answer student, staff, and the public’s questions.
Knowledge of Minnesota West programs, policies, services, and procedures sufficient to answer questions asked and refer other questions appropriately.
Understanding of PSEO/dual credit program policies, procedures, and options.
Skilled in using MS Office (Outlook, Word, Excel, and Access), on-line chat or instant messaging applications, customer relationship management software, or Minnesota State ISRS database.
Time management skills sufficient to prioritize work and meet deadlines.
Knowledge of FERPA and Minnesota Government Data Practices Act and the ability to maintain the confidentiality of private information in compliance with laws, policies, and procedures.
