Your New Role...
The Executive Assistant will provide a full range of administrative support to the VP of Content & Programming, VP of Ad Sales and Head of Comms and PR. This individual must be pro-active and able to prioritize, while managing a demanding, ever-changing calendar for the Executives. This individual must be able to effectively coordinate the Executive's schedule’s and all other necessary parties, to ensure meetings and presentations are executed seamlessly.
Your Role Accountabilities…
Extensive, proactive and complex diary and travel management, including setting up conference and video conferencing calls (over several time zones), as well as internal and external meetings
Ensuring the VPs are briefed and know where they need to be throughout the day, prompting when necessary
Handling sensitive and confidential information with the highest level of discretion and confidentiality
Building effective relationships with EA peers, being a team liaison/go-to person, help build positive team morale
Submitting all relevant Travel & Expenses reports correctly and in a timely manner
Providing solutions to logistical challenges within the team, liaising with Facilities, Logistics and IT
Meeting and greeting visitors at all levels of seniority
Creating presentations and minutes, internal and external communications
Dealing with incoming calls, email and post
Qualifications & Experience…
Keen curiosity and interest in the business and subject matter with a clear view of how their role adds value to the business
Energetic, upbeat and enthusiastic
Professional, discreet and confidential
Excellent written and verbal communication skills
Quick learner and open to new technologies and experience
Previous experience working as an Executive Assistant to Senior Management in a global organisation
Advanced knowledge of Outlook, Word, Excel and PowerPoint
Experience of timely management of corporate expense system
Excellent administration and organisational skills
Can do attitude and flexibility and goes the extra mile
Fluent in German and English
Aufgaben
Umfassendes, proaktives und komplexes Termin- und Reisemanagement, einschließlich der Organisation von Konferenz- und Videokonferenzen (über mehrere Zeitzonen hinweg) sowie von internen und externen Sitzungen
Briefing der VPs zu Terminen, Strukturierung ihres Arbeitsalltags
Umgang mit sensiblen und vertraulichen Informationen mit einem Höchstmaß an Diskretion und Vertraulichkeit
Aufbau eines effektiven Netzwerks innerhalb des Unternehmens
Einreichen aller relevanten Reise- und Spesenberichte in korrekter und fristgerechter Form
Bereitstellung von Lösungen für logistische Herausforderungen innerhalb des Teams
Empfang und Begrüßung von externen Besucher*innen
Erstellung von Präsentationen und Protokollen, interne und externe Kommunikation
Bearbeitung von eingehenden Anrufen, E-Mails und Post
Kenntnisse
Große Neugier und Interesse am Mediengeschäft mit einer klaren Vorstellung davon, wie ihre Rolle einen Mehrwert für das Unternehmen darstellt
Tatkräftig, optimistisch und enthusiastisch
Professionell, diskret und vertraulich
Ausgezeichnete schriftliche und mündliche Kommunikationsfähigkeiten
Schnelle Auffassungsgabe und Offenheit für neue Technologien
Erfahrung in der Arbeit als Assistent*in des leitenden Managements in einer globalen Organisation
Fortgeschrittene Kenntnisse in Outlook, Word, Excel und PowerPoint
Erfahrung mit Abrechnungs- und Spesensystemen
Ausgezeichnete Verwaltungs- und Organisationsfähigkeiten
