JORDAN MANUFACTURING COMPANY, INC. Part-time Administrative Assistant/ Paralegal in Monticello, Indiana

Overview: We are seeking a highly organized and detail-oriented individual to join our team as a Part-Time Assistant and Paralegal. This role will provide crucial support to the owner in managing administrative tasks for several real estate and construction entities, conducting legal research, and assisting with construction process. The ideal candidate will have excellent communication skills, strong multitasking abilities, and reliable.

Responsibilities:

  1. Administrative Support:
  • Manage calendars, schedule appointments, and coordinate meetings.

``` - Prepare and organize legal documents for government funded construction projects, serving as key point of contact with local and state authorities.

``` - Assist with and maintain lease agreements.

``` - Handle phone calls, emails, and other communications in a professional manner.

``` - Perform general office tasks such as filing, copying, and data entry.

``` - Prepare and distribute internal communications, memos, and reports.

  1. Legal, Tax and Grant Research:
  • Utilize resources to conduct legal, tax and general research on a landlord, real estate, and construction topics.

``` - Summarize findings and prepare memos and other written materials.

``` - Review and obtain construction bids and contracts for accuracy and compliance with regulations.

``` - Complete required forms for reimbursement from government agencies.

  1. Scheduling and Calendar Management:
  • Ensuring all documents are up-to-date and accessible.

``` - Schedule appointments and attend meetings with city and county offices.

``` - Send reminders and confirmations for scheduled appointments and events.

``` - Schedule and attend job site quotes, inspections, and customer meetings.

  1. Data Entry and Organization:
  • Input data into spreadsheets, databases, and other software systems accurately and efficiently.

``` - Organize and maintain electronic and physical filing systems.

``` - Assist in the creation and maintenance of documentation, records, and reports.

``` - Reconcile lessee contracts and payment. Collect rents, file evictions paperwork, create and mail demand notices.

``` - Maintain customer job contracts and billing.

Qualifications:

  • Previous experience working in a legal environment is highly desirable.

``` - Excellent organizational skills with the ability to prioritize tasks and meet deadlines.

``` - Effective communication skills, both verbal and written.

``` - Flexibility to work part-time hours, with potential for increased hours based on workload.

``` - Previous experience in an administrative or office support role preferred.

``` - Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Quick Books on line.

Position will be hired by Shorescape, INC., but work at Jordan Manufacturing Location.
