This role ensures a seamless client experience, by coordinating with faculty, leading communications with external stakeholders, and overseeing the executive and delivery of programs and events. This position identifies opportunities for continuous improvement and implements enhanced processes. The Program Manager role requires a forward-thinking approach regarding operational management, creating a proactive environment within Executive Education. This position also handles special projects and provides onsite program assistance. The salary range for this position is $50,000-$55,000 depending on qualifications. JOB DESCRIPTION: Program Management & Coordination (70%) Manage the execution of Executive Education programs. Coordinate faculty participation, including availability, confirmation letters, material deadlines, and travel arrangements. Lead briefing meetings with clients, solve issues, and create program planning documents. Coordinate program details, maintain vendor relationships, and liaise with Carlson School IT for technology needs. Manage facilities, classroom setup, and building services coordination. Conduct analysis to evaluate program delivery and recommend improvements. Create and communicate program-planning timelines. Develop Canvas course sites and coordinate online learning tools. Provide direct program support, including greeting participants, assisting faculty, and managing vendors. Serve as a producer for online program delivery. Manage calendar invitations and troubleshoot program issues. Ensure accurate reporting of evaluations and adapt to changing requirements. Process payment documents, reconcile program expenses, and align with University protocols Process course registrations, transfers, and refunds Department Administration (20%) Direct student workers in managing inventory, program tasks, and staff scheduling. Identify opportunities for process and office management improvement, design, and systems. Participate in weekly staff meetings. Special Projects (10%) Assist with other projects and duties as assigned. The employer reserves the right to change or assign other duties to this position Qualifications MINIMUM QUALIFICATIONS: BA/BS or a combination of related education and work experience totaling four years. Professional demeanor. Familiarity with MS Office, including Word, Excel, and PowerPoint. Familiarity with Google Suite applications. Strong written and verbal communication skills with knowledge of grammar, spelling, and punctuation. Ability to prioritize multiple tasks and attention to detail. Strong organizational, communication, and interpersonal skills. Ability to be productive, meet deadlines, and work well under pressure. Availability to occasionally work evenings, weekends, and off-site locations as needed. Ability to work 7:00 a.m. to 5:30 p.m. on program days. PREFERRED QUALIFICATIONS: Comfortable communicating with executives and senior leaders. Experience with project management software. Experience with online platforms such as Zoom, WebEx, and MS Teams. Familiarity with online course registration and learning management systems.
