Salary Range: $55,000 - $66,000

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

JOB SUMMARY

Reporting to the Dean, this position works independently to develop, manage, and implement department programs at the Dougherty Family College.

ESSENTIAL FUNCTIONS

  1. Provides administrative assistance and support to both Dean and the Associate Dean. This includes managing calendars, scheduling meetings, and managing long-term and short-term projects to ensure timely and efficient process management. This also includes maintaining open communication with students, community members and professional colleagues and staff, coordinating meetings, technical data processing, customer service and correspondence. Provides administrative assistance to the academic team and the dean’s team.

  2. Manages the department budget, to include tracking revenue, expenditures, reconciling, and preparing program reports. Performs a variety of financial transaction activities to include invoice processing and reconciliation and balances the overall budget. Generates and analyzes a variety of financial reports on a regular basis. Assists the dean with the annual budget planning process. Maintains accurate and organized records of paid invoices according to Fiscal Year and index/account codes.

  3. Manages, plans, and executes fall, spring, J-term and summer course registration for all Dougherty Family College students. Works closely with the University’s registrar’s office to ensure compliance and efficiency.

  4. Manages, plans, and implements a variety of department activities and programs. This includes oversight of the front office operations. Trains, hires, schedules, and provides work-direction to student employees. Ensures front office activities remain in compliance with federal and state rules and regulations.

  5. Other duties as assigned. One major responsibility is to serve as our strategic planning coordinator. This includes collecting data, creating reports, communicating with project leads, organizing and facilitating strategic planning meetings with DFC leadership team.

QUALIFICATIONS

Minimum Qualifications

  • Bachelor’s degree in a relevant field

  • Three years of program management experience

Knowledge of:Evaluation, and the management of student workers. Principles and practices of budget development and administration. Computer applications related to the work such Microsoft Office, Anaplan, Banner, Optix, and Cognos.

Skill in:Assisting in developing and implementing policies, procedures, and work standards. Developing and administering the departmental budget. Using initiative and independent judgment within general policy guidelines. Strong people skills to successfully interact with the public and persons from different socio backgrounds and cultures. Organize own work, set priorities and meet critical deadlines. Exercise initiative, resourcefulness, and sound judgment. Promote and implement process improvement. Strong organizational and time management skills. Attention to detail and high level of accuracy in preparing and entering information

Abilities:The ability to establish and maintain effective working relationships. Ability to work independently and as a team player.
