The Grants/Contracts Professional is responsible for managing a T32 training grant, progress reporting, post-award financial grant administration, and overseeing complex purchases and contracts.This position will ensure compliance with sponsor terms, University policies and procedures, and federal regulations. The position requires on-campus attendance at least three days a week, with flexibility for work-from-home days as well. This individual will work closely with members from both Divisions, in particular Epidemiology faculty and staff. They will primarily work independently with data to day activities, and report to the Division Administrator. The Divisions of Pediatric Epidemiology and Clinical Research, and Pediatric Blood and Marrow Transplantation and Cellular Therapy are seeking a Grants & Contract Professional to support both pre-award and post-award activities. The Grants/Contracts Professional is responsible for managing a T32 training grant, progress reporting, post-award financial grant administration, and overseeing complex purchases and contracts. This position will ensure compliance with sponsor terms, University policies and procedures, and federal regulations. Grant Management - 40% Manage xTRAIN (trainee appointments & terminations), and xTRACT (trainee reporting and tracking). Oversee trainee paperwork (eligibility, applications, appointment letters, leaves of absence, payback agreements, and funding requests). Assist trainee and faculty with NIH Commons (new trainee accounts and profiles, linking with ORCID, maintenance of My NCBI/MyBibliography). Manage mentor list, assuring new mentors are officially added. Prepare administrative portions of the proposal/progress report. Obtain data for renewals and RPPRs. Primary point of contact for pre-award staff, accounting, and faculty. Negotiate research contracts, in particular with industry. Managing executed contracts. Liaise with departmental and collegiate administration and SPA throughout life of the award. Cultivate relationships with trainees to ensure long-term accurate reporting. Program Administration & Compliance - 40% Maintain trainee training and compliance activities (RCR, human subjects training, etc.). Mange travel for trainees and visitors associated with sponsored funding, including booking travel, itineraries, ensuring honorariums and out-of-pocket expenses are paid in a timely manner. Partner with faculty in the preparation of documents for the submission of research grants, both sponsored and non-sponsored. Manage other support documents, biosketches and CVs for Epidemiology faculty and training grant mentors. Coordinate with PIs to ensure that all program activities are developed and reported on within progress reports and grant submissions. Attend T32 stakeholder meetings, as scheduled, and collaborate with other training grant staff. Organize grant advisory board meetings, annual retreats, and special events. Cultivate relationships with pre-award, post-award, SPA, and administrators to support Division and Department missions. Ensure that research personnel are compliant with all UMN, state and federal regulations. Update records and assist with identifying needed trainings of supported faculty. Ensure that research personnel are compliant with all University, state and federal regulations. Ensure compliance with University research policies and procedures. Demonstrate a working knowledge of federal program guidelines, understand budget limitations and identify solutions to sponsor's restrictions. Purchasing and Contracts - 20% Manage purchase orders and requisitions for the Divisions. Manage unfunded agreements for the Division of Epidemiology, this includes submitting in MN-GEMS, gathering information for clarifications, and ensuring all agreements are executed in a timely manner. Manage both divisions' software purchases, anticipating renewals to seek prior approval. Responsible for division shipping, which includes: invoicing, payments, tracking, and managing accounts. Chrome River Navigator. Responsible for the reconciliation of PCard transactions for staff and faculty. Qualifications Required Qualifications: BA/BS plus at least two years of professional experience performing scientific, administrative, budgetary or grant duties or a combination of related education and work experience to equal at least six years. Preferred Qualifications: Demonstrated ability to simultaneously work on multiple projects with fixed deadlines and ability to re-prioritize tasks as needed to meet all deadlines. Effective abilities to interface with all levels of the organization (students, staff, faculty, stakeholders and central administration). Demonstrated effective problem identification and problem-solving skills. Demonstrated willingness to learn and grow professionally. Capable of accepting responsibility with a high level of independent initiative, proactivity, and creativity. Demonstrated ability to work independently with a high level of accountability, follow-through, and internal drive. Experience with Microsoft Office Suite and similar Google tools. Effective team member skills. Experience working in higher education institution. Experience working with purchasing, post-award management, budget, and contract preparation. Experience working with, and managing, federal grants.
