The Surgery- Histo & Immuno department has an exciting opportunity for a full time Supervisor, Administrative Operations (H) position. The incumbent oversees office activities and services, including the supervision of staff, to achieve maximum productivity and expense control. The incumbent develops procedures and policies for administrative activities, such as records maintenance, document preparation, mail distribution, reception, and other related internal operations.

  • Coordinates, plans, and directs services which support the running of the department.

  • Plans and coordinates the duties of staff in addition to analyzing complex administrative concerns.

  • Develops and implements department processes.

  • Recruits and trains office support staff.

  • Manages staff in the day-to-day performance of their jobs.

  • Ensures projects, department milestones/goals are met and adheres to approved budgets.

  • Purchases and maintains office equipment and supplies.

  • Tracks and analyzes operational costs.

  • Coordinates delivery of office services with other departments.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS

  • High School Diploma or equivalent required

  • Minimum 3 years of relevant experience required

DEPARTMENT ADDENDUM

Department Specific Functions

Provides administrative support to the Medical Director of the Immunology and Histocompatibility Laboratory (IHL) including managing calendar, schedule appointments, coordinate meeting and trainings, ensure meeting notes are available for scheduled meetings, manage CV, handling of reimbursements, organize and arrange travel for conferences, completion of reappointment packages, licensure renewals, send reminders, and other duties as needed. Coordinates administrative support to all Faculty of the IHL. Manages IHL’s administrative staff, including coordinating and tracking duties to ensure completion, assigning additional duties as requested by IHL leadership, assisting in problem solving of issues, management of time of administrative staff in Workday, management of day-to-day operations of administration, and others. Provide administrative support along with Histology’s Clinical Laboratory Assistant for histology lab-related duties including accessioning of cases, coordination and scheduling specimen pick up, logging specimens in “notebook” and/or database system, communication with surgeons/doctors/coordinators regarding cases, reporting of initial cases and addendums, manage donor biopsy On-Call calendar, organization of cases for pathologists, preparing cases for multidisciplinary conferences, management of cases in UM and JMH Copath, and others Assists the laboratory leadership and Medical Director to secure and maintain the physical facilities, equipment, and supplies, which are required to carry out effective patient care and create an optimum physical environment. Assists in coordinating with the team the Critical Equipment Inventory and Services Cooperates in planning programs, safety protocols and preparedness for fire and other emergency disasters Assists the laboratory leadership and Medical Director in being responsible for compliance with Safety Protocols within UM and other applicable institutions. Performs On Call Duties for IHL as applicable. Provides support as needed for special IHL projects as assigned (i.e., IT projects, etc.) Works as a team player with other IHL Supervisors, Managers, and all Directors to promote effective intradepartmental relationships. Always keeps open communication channels with the team and leadership. Ensures delivery of quality and safe laboratory services to inpatients, outpatients, and employees.
