BRIEF POSITION SUMMARY:

Data entry position which is responsible for 1) entering new and rejected invoices into customer third party billing portals, 2) new and existing portal account setup, and 3) acting as a liaison between customer A/P teams, the MSC sales team, and the accounts receivable team.

DUTIES and RESPONSIBILITIES:

  • Facilitate new and existing third party portal account setup which include customer specific portals and off shore portals. Portfolio includes third party portal setup for National, Core and CCSG customers.

  • Data entry into these 3rd party portals to facilitate on time payments from customers.

  • Review and resolve invoice exception errors within the order to invoice process to ensure all sales orders are processed timely for revenue recognition.

  • Review, research and resolve a variety of internal and external customer inquiries related to third party billing. Initiate communication to external customers and internal personnel to resolve customer account discrepancies.

  • Process third party billings via the customer’s web portal’s daily, weekly or monthly based on contractual agreement with customer.

  • Research unit of measure issues, pricing discrepancies, tax, freight, ship to/ bill to accuracy and specific code detail relevant to the customer. Cross reference purchase orders and MSC invoices for accuracy. Correct as needed

  • Fosters the MSC culture in the department and throughout company to ensure unity of purpose and fulfillment of MSC’s mission.

  • Facilitate and participate in conference calls as needed and provide guidance to customers and sales.

  • Research root cause problems delaying payments and correct as necessary

  • Work closely with Buyers and branch personnel for PO verification and accuracy

  • Work closely with the Sales Team on setting up 3rd party portals within company policy.

  • Participates in special projects and performs additional duties as required.

    EDUCATION and EXPERIENCE:

  • High School diploma or the equivalent is required. Bachelor or associates degree preferred.

  • Three to five years customer service or customer facing experience required.

  • AR, Credit and Collections or Billing experience preferred

  • Industry or distribution experience preferred.

    SKILLS:

  • Exhibits customer focused behaviors, and builds positive relationships with internal and external customers

  • Ability to troubleshoot, problem solve, perform research and analysis.

  • AS400 and Oracle/JDE or SAP experience preferred

  • PC experience (Word, Excel, etc.) is required. SAP experience preferred.

  • Excellent oral and written communication skills are required

  • Basic knowledge of general accounting principles is required.
