University of Louisville Unit Specialist III (Project Administration Manager) - Kentucky Reading Research Center (KRRC) - College of Education and Human Development in Louisville, Kentucky

Minimum Requirements:Bachelor's degree with four (4) years of relevant experience or the equivalent combination of education and experience. Grade 6 (Salary).Position Description:The Project Administration Manager will play a critical role in overseeing the successful initiation of the Kentucky Reading Research Center. This person will provide high-level administrative support to the executive team, including managing schedules, coordinating meetings, handling correspondence, and performing various office tasks to ensure the smooth operation of the center’s mission. Contingent upon continued funding, this role requires exceptional organizational skills, discretion, and the ability to work independently and proactively in a fast-paced environment.The Kentucky Reading Research Center is a state-funded institution dedicated to advancing literacy through cutting-edge research and innovative practices. We value collaboration, integrity, and excellence, and are committed to fostering a dynamic and supportive research environment.Essential Duties and ResponsibilitiesProject Planning and CoordinationDevelop detailed project plans, including timelines, milestones, physical space/technology requirements, and resource allocation, in collaboration with Co-Directors and research teams.Ensure that project activities align with center objectives and requirements.Coordinate with cross-functional teams to ensure project milestones are achieved.Grant Management and ComplianceAssist Co-Directors with managing budget funds, ensuring compliance with funding agency regulations and guidelines.Oversee travel planning and reimbursement for center staff.Assist with the preparation and submission of required progress reports to funding agencies.Stakeholder CommunicationMaintain effective communication with Co-Directors and all center staff, ensuring transparency and alignment.Prepare and present project reports, proposals, and documentation.Quality AssuranceEnsure that project deliverables meet quality standards and funding agency expectations.Implement quality control processes and review project outputs for accuracy and completeness.Project Execution and MonitoringProvide logistical support for the day-to-day management of project activities.Conduct regular status meetings and provide updates to center staff.Track project progress and performance, adjusting plans as necessary to ensure project goals are met.Project ClosureSummarize project reviews and evaluations to identify lessons learned.Prepare final project reports and documentation for funding agencies.Ensure proper handover and transition of project deliverables.Preferred QualificationsMaster’s degree preferred.At least 3-5 years of experience in project management, with a focus on grant-funded research projects.Experience in research administration and compliance is highly desirable.Strong organizational and time management skills.Excellent leadership and team management abilities.Proficiency in project management software (e.g., Microsoft Project, Asana, Trello).Strong problem-solving and decision-making skills.Excellent written and verbal communication skills.Ability to manage multiple projects simultaneously and work under pressure.CompetenciesProject Management - organized, task oriented, ability to delegate and follow up.Proactive - anticipates and plans for problems before they arise.Analytical- evaluating data and other information with the ability to choose the best solution and make recommendations.Flexible - ability to change directions as needed for the good of the department or organization.Service Excellence - responsive, informs constituents of process, pleasant to work with, educates and provides timely, accurate information.Organized - manages time effectively, keeps tasks appropriately prioritized.Critical Thinking - ability to think through issues and identify appropriate options.Work Ethic - motivated, diligent, industrious and persistent in the workplace, stays on tasks to completion, works at a fast pace to ensure optimal efficiency.Interpersonal - can build effective, strong working relationships with employees, colleagues, management and vendors through trust, communication, and credibility.Teamwork - ability to work with others, serve others, help others, lead others, mentor others, take directions from others in the interest of moving process and programs forward to the desired outcome.Target Compensation Maximum:$77,600.00Target Compensation Minimum:$51,700.00Compensation will be commensurate to candidate experience.Equal Employment OpportunityThe University of Louisville is an equal opportunity, affirmative action employer, and is committed to providing employment opportunities to all qualified applicants without regard to race, sex, age, color, national origin, ethnicity, creed, religion, disability, genetic information, sexual orientation, gender, gender identity and expression, marital status, pregnancy, or veteran status.
