Aston Carter Administrative Assistant in LOS ANGELES, California

Job Title: Administrative AssistantJob Description

Provide general administrative support. Research and prepare a wide variety of requests and process customer purchase orders against contractual agreements. Financial acumen of customer purchase orders and contracts, as well as invoice processing, are essential for this role.

Responsibilities

  • Produce, update, and provide support on MS documents, databases, and other departmental systems.

  • Utilize strong organizational skills and time management to be resourceful and proactive.

  • Prepare emails, reports, agendas, and meeting notes as needed.

  • Collect and organize data using pre-set tools, methods, and formats to generate standard reports.

  • Prepare required documents and track using a variety of applications such as Microsoft Office and other standard office software.

  • Understand data collection, processing, and protection rules and regulations to achieve compliance with organization objectives and applicable laws.

  • Schedule appointments, arrange meetings and conferences, and organize travel plans as needed.

  • Develop knowledge and understanding of the organization's policies and procedures and relevant regulatory codes to ensure adherence to those standards.

  • Support procurement activities.

  • Perform other duties as assigned.

Essential Skills

  • Clear and effective verbal communication skills.

  • Ability to plan, organize, and prioritize activities efficiently.

  • Knowledge of customer service principles and practices.

  • High School Diploma or GED.

  • 3-5 years of relevant experience.

  • 2-4 years of experience processing invoices and customer purchase orders.

  • Experience with ERP systems, with SAP being highly desired.

Additional Skills & Qualifications

  • Financial acumen related to customer purchase orders and contracts.

  • Proficiency in Microsoft Office and other standard office software.

Work Environment

The role involves working with various technologies and equipment, including ERP systems and Microsoft Office. The position may require scheduling appointments, arranging meetings and travel plans. The work environment adheres to organizational policies and regulatory codes to ensure compliance and operational efficiency.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
