Job Summary:

Position provides support to our shared resource engineering and maintenance teams. Will be responsible for a variety of administrative tasks, tracking capital expenditures, maintaining project financial records, creating monthly reports, and maintaining asset inventories.

Job Responsibilities:

(May include, but are not limited to, the following)

Core Responsibilities:

  • CMMS System Coordinator
    • Preventative Maintenance scheduling and tracking.
    • Ensure compliance with EPA, internal and external audit requirements.
    • Review CMMS system daily to ensure data is accurate.
  • Fixed Assets
    • Communicate with internal financial services to assign asset numbers.
  • Site Security
    • Maintain badge access systems.
    • Manage badge access database to ensure compliance with regulations.
    • Main ain security camera system, user accounts, access levels, etc.
  • Contractor Safety
  • Process and maintain documentation for disposition of assets.
  • Complete annual requirements for physical inventory of assets.
  • Assist Contractor Safety SPA with responsibilities to ensure EHS program compliance.
  • Monitor Contractor prequalification process and maintain site listing of approved Contractors, Sub-Contractors, and Contracted Services.
  • Maintain site training records for all Contractors, Sub-Contractors, and Contracted Services.

Additional Responsibilities:

  • Create and update project schedule files and provide project support as required.
  • Cross train in the Oracle system to assist Purchasing and Receiving.
  • Perform observations, audits, etc. to support EHS initiatives.
  • Assist EHS with medical office responsibilities to ensure program compliance.
  • Performs other work-related duties as assigned by the Facility Engineering Manager.

  • Demonstrated initiative and ability to work independently and collaborate in a team environment.
  • Ability to create and organize equipment files and project files for the site engineers.

Employee is required to execute the following: Occasional bending, reaching, pushing and pulling when retrieving and moving various items. Lifting intermittently of various items. Oral communication via telephone or in person while interacting with customers, suppliers, and other employees. Position may require more than eight hours daily and more than five days weekly to complete work assignments. Sitting in chairs (swivel, padded, and adjustable) for long periods while participating in meetings, when preparing reports, when developing procedures, when operating a computer and when performing miscellaneous office-related tasks. Squatting / crouching when retrieving stored items from lower shelves and file cabinets, making equipment / product inspections, etc. Standing intermittently when making presentations, performing facilitation activities, checking products, performing audits, making photocopies, etc. Standing will vary from periodically to extensively depending on the daily sequence of events. Operating of a motor vehicle for travel purposes. Visual monitoring of computer screens. Visual inspection and review of products for compliance to specifications. Visual viewing of processing equipment, precision measuring instruments, prints, reports, manuals, procedures and an assortment of printed items.
