RTS Auto Office Assistant in Kodiak, Alaska

**[Position and Description [RTS Auto is seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate will have excellent communication skills and the ability to multitask in a fast-paced environment. As an Office Assistant, you will provide administrative support to ensure efficient operation of the office and shop.

**[Job Duties and Responsibilities [Scheduling and Appointment Coordination: Utilize your exceptional organizational skills to efficiently schedule appointments for vehicle repairs and maintenance. Coordinate with customers and technicians to ensure timely service and minimal wait times.

[Customer Assistance: Provide friendly and professional assistance to customers, addressing inquiries and concerns promptly and courteously. Ensure a positive experience for customers throughout the repair process by keeping them informed and maintaining open lines of communication.

[Workflow Management: Work closely with the shop manager and technicians to maintain an efficient workflow. Facilitate effective communication and coordination among team members to ensure smooth operations and timely completion of repairs.

[Attention to Detail: Meticulous attention to detail to ensure accuracy in administrative tasks, documentation, and record-keeping.

[Invoicing and Payments: Receive cash, checks, and credit card payments from customers and record the amount received on the repair order and/or counter ticket. Make change accurately and issue receipts to customers.

[Service Writing: Develop cost estimates, logging needed parts and the time needed for repairs. Convey all necessary information regarding costs, parts, work and Technicians to customers. The ability to understand and relate technical issues to the service team from customer's non-technical descriptions. [Ensure that the needs of our customers are met, coordinate transactions and estimate both time and costs to ensure everything runs smoothly for our customers.

[Knowledge of Office Systems: Perform general clerical tasks such as filing, printing, and sending emails. Accurately input data into company systems, including customer details, and vehicle information. Proficient computer skills, including Microsoft Office.

[Cleaning and Organization: Keep office and reception area clean and dusted, empty trash bins, maintain orderly and clean desk. Weekly clean bathroom, and employee kitchen area. [Driving and Errand Running: Drive company vehicle for various tasks including picking up cargo from the airport, picking up parts from part stores, and shopping for office and shop supplies.

[Time Commitment [ Full Time - 40 hours per week plus overtime.
