Kilgore College Administrative Assistant III - Human Resources in Kilgore, Texas

Position summary:

This position is primarily responsible for data entry and file maintenance for employees.  This position will have a significant amount of personal interaction with employees, applicants, and new hires. The position will be required to handle multiple tasks and be flexible around deadlines.

Position responsibilities:

  • Regular scheduled attendance on a Full-Time Basis. Excess hours may be required during peak periods

  • Accurate data entry of all information into KC systems

  • Answer phone calls and emails with radical hospitality

  • Effective use of the ERP Jenzabar EX system to maintain employee information, enter new hire data and pull reports necessary for job functions.

  • Onboard new employees and track employment process from start to finish

  • Process employee changes with required documentation

  • Maintains accurate records of active job openings and received applications; manages internal and external job postings.

  • Assist with the preparation of monthly, quarterly and annual reports including but not limited to CBM, Veteran Reporting, IPEDS, etc.

  • Assist in the new hire orientation as needed

  • Track KC volunteers and monitor volunteer program

  • Assist in preparation of employee communications including contracts, Paid Professional Assignment (PPA), and compensation letters

  • Assist with retention schedule for employee files and records in electronic and paper form

  • Coordinate Employee Service Awards

  • Manage HR Help Desk requests including Service Records/Verification of Employment, resolution of employee issues, and applicant questions.

  • General office tasks such as requisition submittal, ordering supplies, answering phones, filing and assistance with daily operations of the Department.

  • Serve on committees, including the Hospitality Committee

  • Other duties, as assigned

    Minimum Position Requirements:

  • Associate's degree required, Bachelor's degree preferred.  Three years of proven work-related experience in Human Resources or a similar business office environment.

  • Must have a proven history of reliability, accuracy and willingness to work as requested to ensure timely and accurate data entry and file maintenance.

  • Advanced and efficient knowledge and skills of computer applications Microsoft suite, Adobe, typing and data entry.

  • Must be able to work in a typical office environment.

  • Must be able to handle high workload and meet deadlines in a professional office

  • Must be organized, confidential, timely, tactful, detail-oriented, and even tempered.

  • Must have strong communication skills.

    Physical Demands and Work Environment:

  • Work is normally performed in a typical interior/office and classroom environment.

  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.

  • No or very limited exposure to physical risk.

    Position responsibilities:

  • Provide resources for safe operation of units. Create and support workplace safety.

  • Compensation for this 12-month position is $34,163

    Kilgore College does not participate in the federal Social Security program.
