Job Summary

Incumbent will assist in clerical, telephone receptionist, and other ancillary support duties with physicians, nursing staff, patients/family and others.

ESSENTIAL JOB FUNCTIONS

Telephone

  • Screens all non-appointment nurse calls for emergency situation per established protocols.

  • Establishes contact with registered nurse when family requests communication regarding patient’s condition beyond the secretary’s scope of practice.

  • Receives calls and chart requests for patients calling for lab and x-ray results so the nurse can return the call with the correct information available during call.

  • Serves as a contact for physicians expecting outside calls in provider-to-provider communication

  • Assist patients with special requests and direct them to the appropriate department when necessary.

  • Establishes and maintains effective communication and good working relationship with coworkers for patient’s benefit.

Ancillary Services

  • Assist nurse/provider teams with scheduling patient appointments and referrals to local facility.

  • Ensures that all prerequisite forms are completed before forwarding patient to Purchased & Referred Care Department.

  • Assists patients and providers with referral system.

  • Participates staff committees as assigned.

Clerical Services

  • Provide general clerical duties including typing, filing, and maintaining staff calendar for nursing department.

  • Receive, review, accurately and immediately route incoming patient correspondence, reports, records, and forms to appropriate nurse/provider team, and using our Electronic Health Records messaging system to document all incoming phone calls from patients.

  • Handles all daily mail delivery.

  • Notifies biomedical coordinator and appropriate department director of any equipment not properly functioning.

  • Notifies Information Technology Department for computer, printer, copier, and fax machine malfunctions.

  • Orders basic office supplies for department when necessary.

  • Performs other related duties as assigned by immediate supervisor.

  • Knowledge of the Health Insurance Portability and Accountability Act (HIPAA);

  • Skill to operate software programs;

  • Ability to communicate professionally over the telephone and in person in a positive and clear manner;

  • Ability to manage multiple tasks, including telephone, computer operations and in-person visits simultaneously;

  • Ability to identify and analyze cost for different expense account codes such as personnel, travel, supplies, and other related operational costs;

  • Ability to take verbal instruction and complete assigned project by established deadline;

  • Ability to be flexible in order to perform at the highest level as a team player;

  • Ability to utilize maximum degree of professionalism and diplomacy with those who may be experiencing a high degree of stress both mentally and/or physically (both patients and co-workers);

Physical Activities

Must be able to work in an office environment in a stationary position the majority of the work day.

This position needs to occasionally move about inside the office environment to access office equipment, attend face-to-face meetings on / off site as needed, zoom meetings, teleconference calls, videoconferencing, e-mail, and similar activities, etc.Routinely lifting and carrying items and boxes up to ten (10) pounds.

Large portion of time will be spent in front of computer screen, researching and reviewing various documents for final disposition to internal / external customers. Writing by hand and using a personal computer. Traveling occasionally, to out-of-town meetings and functions.

Working Conditions

The environment involves the usual risks and stress of an office environment within a public service facility. The employee may be exposed to communicable diseases. Safety precautions for employees such as blood drawing for screening of various diseases such as hepatitis, required immunizations, etc. are necessary. The employee should be compassionate, resourceful, a team player, and solution minded as one could often be working with patients who may be experiencing personal or familial health problems. The employee should be detail oriented and show integrity in their work as they have an obligation to keep patient records confidential.

QUALIFICATIONS

Licensure

Possess current valid State of Alaska driver's license with a record acceptable to KIC’s Insurance carrier.

Education

High school diploma or equivalent required. Two-year college or university degree in Secretarial Science or related field preferred.

Equivalent Training as a Medical Assistant including medical terminology, medical records, ICD9 coding, CPT coding, telephone etiquette, medical billing, and history taking may be substituted for higher education.

Successful work experience as a medical assistant or nursing assistant in medical/dental office or health care facility can be substituted for higher education.

Experience

Minimum two years’ work experience as a medical/dental assistant or receptionist.

Progressive responsible administrative/clerical work that indicates ability to acquire the particular knowledge and skills needed to perform duties of this position.
