Amentum Administrative Assistant 4 (PMO) in Fort Polk, Louisiana

The Administrative Assistant IV provides broad administrative and secretarial support with minimal supervision to specified Manager(s)/Director(s). Under general supervision, the selected candidate, applying program knowledge and/or subject matter expertise, will provide program management support including specific limited analysis addressing discrete program and/or subject matter elements analysis to prepare routine and non-routine correspondence and documentation, program presentations and briefings, and program management reports.

  • Manage the office of a member of a specified manager(s)/director(s).

  • Prepare unusual reports including the gathering of information and data, analyzing, organizing, and presentation in a logical, persuasive manner the conclusions of the information.

  • Read, understand, and bring to management attention items requiring attention from the variety of data and reports sent to the office for action.

  • Gather data from various sources and synthesize the options for action from that data, for the decision-making process.

  • Represent the point of view of the Director(s) or Manager(s), when assigned to substitute for him/her in meetings or public events.

  • In concert with the Director(s) or Manager(s), design and implement the necessary business processes to cause the effective functioning of the office.

  • Prepares, proofreads, and distributes correspondence. Composes own correspondence as well as correspondence for signature including the execution and distribution of reports. Also, prepares special or one-time reports, summaries, or replies to inquiries under general direction.

  • Screens, directs, and handles incoming telephone calls and requests. Responds to inquiries exercising significant initiative and judgement based on knowledge of policies and procedures including answering customer inquiries, acting as a liaison.

  • Schedules, submits, and processes personnel security requests and all other SMO duties.

  • Submits initial and renewal CAC applications.

  • Processes numerous DoD Forms DA & DD).

  • Opens, reviews and processes correspondence and other incoming information.

  • Organizes and maintains departmental files in accordance with applicable procedures.

  • Conducts data entry input and generates reports as required. Also, creates and maintains spreadsheets and other data bases as required.

  • Schedules appointments, arranges meetings, and prepares required materials. May attend meetings and records and report on proceedings.

  • Interface with internal functional teams and external customers for planning, prioritization, and issue resolution of overall activities in the support and achievement of customer goals.

  • Interact with and advises customers by applying specific program knowledge and/or subject matter expertise in the execution of routine and non-routine tasks.

  • Interact and provide technical assessment to customers, through the application of specific program knowledge and subject matter expertise, in the execution of program management tasks.

  • Analyze requirement, interface with other professionals to generate program documentation such as plans, schedules, briefings, reports, correspondence, contracts/contract modifications, technical instructions/procedures and/or related material.

  • Create and maintain master files/schedules related to program history, execution and status for the life of the program (inception to disposal).

  • Review, analyze, provide comments, and provide assessments of technical and non-technical program reports; research specific area and prepare findings.

  • Interface with internal and external principal program participants for planning, prioritization and resolution of overall activities to support customer goals.

  • Perform all other position related duties as assigned or requested.

Minimum Position Knowledge, Skills, and Abilities Required:

  • Must be a US Citizen or Permanent Legal Resident

  • Must have a Associates degree or at least 5 years of job-related experience or equivalent.

  • Requires operating application software including word-processing, spreadsheet programs, and integrated software applications.

  • Good written communication skills

  • Position requires a current, active Security Clearance.

  • Must possess planning, organizational skills and ability to perform detail-oriented work

  • Must be able to work under deadlines.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness.
