Job Description SummaryThis position represents the first impression of the organization, making the role crucial in the professional appearance and client service of the company. Establishing and maintaining a positive presence in the reception area by receiving, directing, and assisting visitors in an efficient, professional manner. Notifying the company host in a timely manner. Answer and triage a medium volume of external and internal calls; directing them to appropriate extensions and providing general information and assistance with inquiries as needed. Create visitor badges using site security system and provide Exton Visitor's Guide containing overview of safety and security procedures. In addition to the day-to-day administrative responsibilities, the Front Desk Admin partners with Site Security and Facilities Management on the operational coordination of the reception area requiring confidentiality, vigilance, high organizational detail, and proactive communication. Job Description BASIC QUALIFICATIONS: High school degree or higher required. 5 years' experience working in a customer service-oriented environment. Displays customer service-oriented behavior and is responsive to customer needs in a polished manner. Intermediate knowledge of Microsoft products including but not limited to Outlook, Teams, Word, PowerPoint, and Excel. Outstanding attention-to-detail and organizational skills Demonstrates strong interpersonal skills with a positive attitude. Strong ability to juggle and prioritize multiple tasks simultaneously. Ability to handle stressful situations with poise, understanding, and tact. Exemplary use of judgment with a strong ability to maintain a high-level of confidentiality. Must be dependable and reliable. Ability to work independently with minimal supervision

Essential Duties and Responsibilities Demonstrate confidence, professionalism, responsiveness, and exceptional customer service. Execute opening and closing front desk procedures. Communicate with Security Guard at beginning and end of shift to ensure smooth transition of Front Desk responsibilities. Answer facility main phone line, redirecting calls, and or taking detailed messages. Request all visitors to sign in and out of Visitor Logbook and provide all visitors with an Exton Visitor's Guide. Process all visitors, vendors, and contractors via building's security system applying all company policies and procedures. Provide security badges and instructions for their use. Make sure the host meets their client in a timely manner. Ensure safety, security, and confidentiality is always held to the highest standard. Track inventory of visitor badges used for guests. Notify facilities if additional badges are needed. Manage the reception email account and active Microsoft Teams IMs as well as the position's West email account always responding in a timely manner. Prepare visitor badges in advance of the visitor's arrival. Manage file of current Certificates of Insurance (COI) for all contractors/vendors providing services to West headquarters building. Update by contacting contractors' company to obtain current COI. Manage reception supply inventories and notify Facilities to reorder. Collaborates with Facilities team members throughout the day via radio, e-mail, or MS Teams to provide notification of arrival of visitors, contractors, deliveries, etc., and direct these individuals to proper location. Answer incoming calls from loading dock external phone and notify Facilities personnel of pending delivery. Receive incoming calls on internal Emergency extension and Radio First Aid Team or Spill Team as needed. Receive and sign for small deliveries, flowers, etc. Notify the mailroom when USPS mail is delivered. Coordinate drop off and pick up of rental car keys with leasing companies. Keeps an open and collaborative partnership with Exton Administrative Team

PHY ICAL REQUIREMENTS:

Office environment - multi level building Sedentary role, however, some filing and stocking supplies is required. This would require the ability walk throughout buildings, lift, and bend or stand as necessary. Regularly use hands and fingers to operate objects, tools, or controls.
