University Medicine Assistant Practice Manager - Gastroenterology in East Providence, Rhode Island

SUMMARY:

Assist in the provision of supervision, direction, planning and coordination of all activities in the office. Reports to Practice Manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Actively participates with Practice manager in management of site.

  • Implement and upholds Brown Medicine policies and procedures.

  • Work with the Practice Manager and Director of Performance Improvement to ensure there is coordination and collaboration between practiced staff and care coordination team members.

  • Assist in the supervision of support staff.

  • Delegate responsibilities to clerical and clinical staff.

  • Assist in developing work flows for the practice/s.

  • Identify, analyze and resolve work-related issues.

  • Assist in the recruitment and development of staff (including training as necessary).

  • Assist in the maintenance of supply inventory (medical and office), reordering as necessary in a cost-effective manner.

  • Manage patient schedule and no shows to maximize productivity.

  • Provide backup or perform payroll activities.

  • Participate or prepare timely and effective evaluations of support staff.

  • Review encounter forms for completeness and accuracy before they are submitted.

  • Complete check requests for payment of approved invoices and submit packing slips to Finance for processing.

  • Ensure that the office is running smoothly in an orderly, productive and efficient manner.

  • Support and drive quality initiatives.

  • Participate in front office and clinical activities as required.

  • Review patient accounts as necessary.

  • Interpret outstanding patient account balances.

  • Ensure that cash control policy is followed.

  • Participate in the coordination of physician credentialing.

  • Maintain patient confidentiality according to HIPAA guidelines.

  • Maintain office and employee confidentiality.

  • Actively participate in staff meetings.

  • Maintain office in regulatory compliance (OSHA).

  • Participate in medical claims processing; assist with charge entry and eligibility checks.

  • Demonstrate flexibility to perform duties wherever volume deems it necessary within the office.

    BASIC KNOWLEDGE:

  • High school diploma or GED with at least two years of college preferred.

  • Knowledge of organizational policies and procedures.

  • Knowledge of medical assisting and front office procedures.

  • Skill in planning, organizing, delegating and supervising.

  • Skill in evaluating the effectiveness of existing methods and procedures of office activities.

  • Ability to assume and delegate responsibility.

  • Ability to analyze problems and follow through with actions/solutions.

  • Ability to establish and maintain effective working relationships with patients,

  • physicians, coworkers and supervisors.

  • Ability to direct and supervise all office functions in the absence of the office manager.

  • Ability to analyze and make decisions as needed.

  • Ability to communicate effectively both orally and in writing.

    EXPERIENCE:

  • Two-five years experience in a medical environment with progressive supervisory experience.

  • Active state licensure as an LPN preferred.

    WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

    INDEPENDENT ACTION:

    Work is performed under general supervision with independent judgment exercised in determining priorities and assigning work.

    SUPERVISORY RESPONSIBILITY:

    Supervisory responsibility and functional guidance to practice staff. Supervision involves assigning work, providing guidance and training.
