Position Purpose and Objectives/Definition of Work:

We are recruiting to fill an Accounts Payable Clerk position Colorado State Public Defender’s state office located in Denver.This position performs specialized, technical accounting work involved in the transactional processing and recordkeeping of accounts payable. The primary purpose of this position is to keep systems running smoothly by managing cash flow and paying vendors and suppliers. We are searching for a skilled financial specialist to join our Finance team to help process, track, and record payments in an accurate, efficient, and timely manner. The AP clerk will have a daily, ongoing impact on financial transactions, keeping us on track, on time, and on good terms with our valued partners. Incumbents perform day-to-day activities under general direction and rely on experience and knowledge of AP systems, the State's fiscal rules, and policies and procedures to complete assignments.

Primary Duties and Responsibilities:

  • Review incoming invoices for proper documentation to include PO matching.

  • Record the date of incoming invoices along with subsequent payment dates.

  • Enter data from payment vouchers for accounts payable into the State's electronic accounting system (CORE).

  • Verify the accuracy of information entered from payment vouchers into the general accounting expenditure document (GAX) in CORE and bring discrepancies to the supervisor's attention.

  • Execute credit card and bank account reconciliation along with coding for supervisor review.

  • Update and maintain financial documents, ledgers, and business relationships.

  • Performs general and routine clerical duties such as copying, e-mailing, and faxing. Performs other duties of a similar nature, as requested.

  • Runs errands to pick up and hand deliver mail, checks, and miscellaneous items within the local vicinity, such as deposits to the Treasurer's Office.

  • Attends meetings and trainings as required.

  • Support the organization in optimizing its financial transactions and systems.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Education and Experience:

  • High school diploma or equivalent (G.E.D.);

  • One year of general office experience

    Preferred Qualifications:

  • Working in a trial office with the State Public Defender or other legal or criminal justice environment

Knowledge(position requirements at entry):

  • Basic administrative and clerical procedures and systems such as word processing, filing, record keeping, and other office procedures and terminology.

  • Basic math (addition, subtraction, multiplication, and division).

Skills(position requirements at entry):

  • Strong client service focus.

  • Ability to learn and apply relevant policies and procedures.

  • Ability to learn the organizational structure, services, staff, and contact information.

  • Ability to recognize when to escalate matters to a supervisor or other staff member.

  • Maintaining client and office confidentiality.

  • Accuracy and attention to detail in data entry and recordkeeping.

  • Ability to complete tasks and assignments with occasional interruptions.

  • People skills to provide courteous and professional service to members of the Public Defender system, clients, judges, court staff, others in the legal community, and others encountered in daily activities.

  • Operation of standard software applications such as Microsoft Office Word, Excel, internet browsers, and e-mail.

  • Operation of common office tools and equipment such as phone systems, postage meters, calculators, desktop computers, printers, photocopiers, and fax machines.

  • Effective communication, verbal and written, sufficient to exchange or convey information; includes giving/receiving work direction.

Physical Requirements:

Employees must be able to meet the physical demands of the job, with or without accommodation, which include talking, hearing, seeing, walking, and using hands to operate electronic devices such as computers and file documents. Ability to sit for extended periods of time.

Light Work: Exerting up to twenty pounds of force occasionally and/or up to ten pounds of force frequently, and/or a negligible amount of force constantly to move objects. Physical demands are more than those of sedentary work. Light work usually requires walking or standing to a significant degree.
