The individual will perform a variety of complex tasks, duties, and responsibilities to organize and coordinate executive efforts, special assignments, and projects. This role will be required to exercise very close attention to detail, good decision making, excellent discretion and outstanding organizational skills and abilities. This position serves as a principal administrative contact for the executive and facilitates communication on behalf of the executive. Duties and responsibilities include: Coordinate and manage fast-paced executive(s) schedules, including scheduling appointments, meetings, and other events. Prioritize, communicate, and adapt continuously.Coordinate executive travel and scheduling domestically and internationallyUsing advanced skills and knowledge of Microsoft excel, PowerPoint and other digital tools, develop, prepare, and submit a variety of reports as needed including status reports, project tracking reports and expense reports; assist with budgeting and financial forecasts.Develop and maintain clearly organized filing and record retention systems to improve efficiency and streamline operations and facilitate the free-flowing movement of institutional knowledge.Craft and distribute departmental communications on behalf of the executive. Conduct data entry and proofreading as needed.Coordinate and organize departmental events and special projects.Partner with other Executive AssistantsAdditional duties as assigned JOB REQUIREMENTSDemonstrated self-motivation and self-management; demonstrated experience conducting work with limited supervision and in often-stressful, time sensitive situations. Continuously demonstrates a sense of urgency.Superior oral & written communication and interpersonal skillsDetail orientation & excellent organizational skills and abilities. Excellent time management skills.Strong analytical and problem-solving skillsHighly digitally & technologically competent, with advanced level skills in Microsoft O365; including Excel, Word, PowerPoint, MS Project, Outlook. A team player with initiative and self-motivationMust be able to follow written and verbal instructions as well as interpret written policies and exercise excellent judgement and discretion.Must be flexible to accept frequent change in priorities and possess the ability to coordinate tasks under critical time demandsAssociates Degree preferred5+ years of Executive Administrative experience Experience in a global organization preferredThis role is performed
