WRIGHT STATE UNIVERSITY Administrative Specialist, Anatomical Gift Program in Dayton, Ohio

Job Purposes: The purpose of this role is to support the Anatomical Gift Program (AGP). Maintaining the office and morgue functions of AGP. Responding to incoming calls and inquiries from donors, families, institutions, and other external agencies. Managing donor registrations from registration through cremation, initiating the appropriate paperwork. Data entry of donor information into the AGP database. Representing the Anatomical Gift Program (AGP) and Wright State University in the provision of donor bodies for use in the teaching of students, doctors, nurses, and various other health professions. This role requires high levels of confidentiality, tact, empathy, and ability to maintain sensitivity, compassion, and tact relating to death process and end of life and not imposing opinions on others. Essential Functions and percent of time:

  • Often the first contact with family/various county agencies/institutions upon death of donor.
  • Works with prospective donors, donor families, and physician offices in representing department services and processes.
  • Receives incoming requests for information on program, requiring knowledge of program procedures, Ohio Revised Code, and routing of calls to other departments as necessary.
  • Utilize sophisticated, unique database for the program. Enter and maintain information on all potential donors/current donors/deceased donors.
  • Maintain over 10,000 paper files on these donors.
  • Prepares routine correspondence to families/physicians. Requiring frequent communication with physician offices and hospitals to obtain information.
  • Use statewide Electronic Death Registration System approved for use by the State of Ohio for initiation of necessary documents and forms relating to death, e.g., death certificate and transit permit.

  • Work with approximately 40 outside institutions, offering them the opportunity to procure donor bodies to further enhance the education and research of Residents and students; includes securing necessary forms and information prior to donor loan.
  • Invoice borrowing institutions for the loan of the body, document information in donor database and maintain appropriate records.
  • Meet with donor families face to face, requiring employee have a good knowledge of not only  WSU program, donor study program, but also other questions related to the death process/end of life care.
  • Compile proper documentation necessary for monthly reconciliation of University departmental budget.

  • Work on special projects, such as the annual Ceremony of Appreciation.
  • Purchasing/reconciliation of routine office and lab supplies to maintain function of morgue and office.
  • Telephone interaction with vendors and ability to maneuver online ordering systems of various vendors as well as the  WSU site.
  • Other duties as assigned.
