Job Summary

Works under general supervision to organize, coordinate, and perform a variety of clerical duties requiring knowledge of general office and university procedures and methods, the ability to operate a variety of office equipment and computer systems, such Microsoft Office and Quicken, and university-based software packages.

Duties & Responsibilities

  • Performs clerical, minor book keeping, updating of volunteer unit data base and other office duties as directed by the County Director and/or the current Business Manager.
  • Works with volunteers in a large diverse office in Champaign.
  • Types and edits for errors final copies of Extension, educational material, newsletters and flyers.
  • Receives visitors and answers telephones for staff; refers inquiries to appropriate persons or responds to calls for factual information.
  • Collects and prepares routine statistical information concerning Extension programs (such as membership rolls, program evaluations, civil rights files and awards).
  • Answers both oral and written inquiries, providing standard information related to various program areas, university policies, and office procedures.
  • Composes and types letters of a routine, factual nature regarding Extension program areas.
  • Makes meeting and other physical arrangements for conferences, tours, or workshops as directed.
  • Maintains County mailing and email lists; adds and drops names from master lists.
  • Maintains subject matter files of Extension pamphlets, brochures, newsletters, and related materials; provides materials to the public upon request.
  • Maintains inventory of office supplies and prepares orders as needed.
  • Is responsible for petty cash box and selling of publications out of the Extension office.
  • Performs related duties as assigned.

Additional Physical Demands

To perform the functions of this position, the employee will be required to perform work both within an office and outside in the communities that are served and must have the capability to travel from one location to the other in a timely fashion. Employee is responsible for securing personal transportation. A valid driver\'s license is preferred. Some work will be required during evenings and/or weekends. When working, the employee may be exposed to a variety of environmental factors to include, but not limited to, hot or cold weather, exposure to noise and allergens, and neven ground. In performing the functions of this position, the employee may be subjected to various mental and physical demands as well to include, but not limited to, independently traveling to and performing work at different locations, ability to move, transfer and/or transport items that may occasionally weigh up to forty (40) pounds and frequently weigh up to twenty (20) pounds, and twisting, pushing and pulling movements. Minimum Qualifications

High school diploma or equivalent.

Any one or combination totaling six (6) months from the categories below:

College coursework in any curriculum as measured by the following conversion table or its proportional equivalent:

15 semester hours equals six (6) months

Work experience performing office/clerical activities, including use of computer systems.
