Robert Half Executive Assistant in Dallas, Texas

Description We are offering a contract to hire employment opportunity for an Executive Assistant in the real estate industry. The role is based in Dallas, Texas, and will require your physical presence in the office. As an Executive Assistant, you will provide high-level administrative support, managing special projects for C-Suite team members, and coordinating organizational activities.

Responsibilities:

• Manage and coordinate travel arrangements for C-Suite team members.

• Prepare and reconcile expense reports using Concur software and facilitate monthly payments to American Express.

• Manage and oversee calendar, calls, and follow-ups for the executive including sending out invitations and preparation materials for leasing meetings and conferences.

• Oversee corporate accounts such as cell phone plans and FedEx in conjunction with the Accounting Manager.

• Coordinate business lunches, special events, and support for conferences and trade shows in conjunction with the Marketing team and receptionist.

• Keep track of subscriptions and membership renewals.

• Utilize CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, and About Time for documentation and correspondence.

• Provide assistance and support to C-Suite team members in their day-to-day operations.

• Maintain professionalism and confidentiality in all aspects of the role. Requirements • Proven experience in an Executive Assistant role

• Proficiency in Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook

• Familiarity with CRM software

• Experience with Concur for travel and expense management

• Previous work in C-Suite level support

• Strong skills in calendar management and scheduling

• Excellent written communication skills, particularly for correspondence and documentation

• Knowledge of About Time software for project management

• Ability to handle sensitive and confidential information with discretion

• High proficiency in English language, both written and spoken

• Strong organizational skills and attention to detail

• Ability to work efficiently in a fast-paced environment

• Ability to prioritize tasks and manage time effectively

• Strong problem-solving skills and the ability to think critically

• Excellent interpersonal skills and the ability to work well with all levels of internal management and staff

• Self-motivated and able to work independently

• Commitment to continuous learning and improvement

• Ability to multitask and meet deadlines

• High level of professionalism and ethical standards

• Strong customer service orientation.
