Description

We are offering a direct hire/permanent employment opportunity for an Administrative Assistant in the retail industry, specifically within a luxury shopping mall. This role is based in Dallas, Texas and focuses on providing comprehensive support to our maintenance team and liaising between our valued retailer tenants and the maintenance department.

Responsibilities:

• Serve as the first point of contact for retailer tenants for maintenance related inquiries, complaints, and suggestions.

• Accurately and promptly handle work orders and service requests that come from our retailer tenants, which could be related to escalators, elevators, light bulb replacements, water leaks, roof repairs, and requests for cleaning services.

• Liaise with our maintenance teams to ensure all work orders are understood and dealt with in a prompt and efficient manner.

• Monitor progress of work orders and keep relevant parties informed of progress.

• Maintain accurate records of all requests and their completion status, ensuring our database is updated regularly.

• Assist the Maintenance Department with routine administrative tasks, such as scheduling, filing, and correspondence.

• Facilitate communication between the maintenance department and other departments of the mall.

• Prepare and disseminate correspondence, memos, and forms amongst the teams.

• Contribute to team effort by accomplishing related tasks as required.

• Use Microsoft Office Suite for various administrative tasks including data entry, email correspondence, and scheduling appointments.

Requirements • Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word

• Experience in answering inbound calls and handling both inbound and outbound calls

• Strong customer service skills and ability to professionally correspond via email

• Familiarity with scheduling appointments and managing work orders

• Proficient in data entry tasks

• Previous experience in dispatching is desirable

• Excellent time management skills

• Strong organizational skills

• Ability to work autonomously and as part of a team

• Excellent written and verbal communication skills

• High attention to detail and accuracy

• Ability to multitask and meet deadlines in a fast-paced environment

• High school diploma or equivalent required, higher education is a plus.
